JOB SUMMARY: Your Flight Plan! The Administrative Assistant facilitates the efficient operation of the assigned department or facility by performing a variety of clerical and administrative tasks. Responsibilities include typing, filing and scheduling, financial record keeping, coordinating meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects. The role handles non-routine correspondence and highly confidential information. Independent judgment is required to plan, prioritize and organize a diversified workload and may recommend changes in office practices or procedures.
Responsibilities and Duties
- Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all members of the department.
- Performs desktop publishing and creates/develops visual presentations.
- Establishes, develops, maintains and updates filing system; retrieves information when needed.
- Organizes and prioritizes large volumes of information and calls.
- Sorts and distributes mail; drafts written responses as needed.
- Responds to regularly occurring requests for information.
- Answers phones and handles messages; collaborates with other departments to cover phones.
- Acts as a liaison with other departments and outside agencies; handles confidential information and explains policies when necessary.
- Works independently and in a team on special nonrecurring and ongoing projects; may act as project manager for special projects (planning/presentations, disseminating information, coordinating direct mailings, creating brochures).
- Types and designs general correspondence, memos, charts, graphs, business plans, etc.; proofreads copy for accuracy and clarity.
- This position has no supervisory responsibilities.
Required Experience and Qualifications
- High school diploma.
- Prior administrative experience.
- Occasional travel may be required.
Physical Demands and Work Environment
- This is largely a sedentary role; some filing is required and may require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
- Ability to lift up to 15 lbs.
