The Administrative Assistant provides support to the CTO, CISO and/or assigned members of the IT leadership team including, but not limited to, preparing, revising, and developing documents; maintaining and/or monitoring calendars, files, e-mails, deadlines and appointments; making travel arrangements; procuring supplies and processing invoices; coordinating meetings; acting as a liaison to other departments; and completing assigned projects.

Job Responsibilities

  • Partner with CTO, CISO and/or assigned members of the IT leadership team, maintaining frequent contact with internal and external clients.
  • Ensure the smooth function of meetings and correspondences involving the CTO, CISO and/or assigned IT leadership team.
  • Manage deliverables to the CTO, CISO and/or assigned IT leadership team and provide necessary reporting.
  • Create and edit presentations, documents and reports for the IT leadership team as required.
  • Serve as the first point of contact for visitors and callers when contacting the executive team; demonstrate poise and excellent interpersonal skills.
  • Coordinate travel arrangements for the CTO, CISO and/or assigned members, including airline, hotel, car rental, driver reservations as requested, within company travel guidelines and cost-conscious whenever possible.
  • Manage expense reporting process for the CTO, CISO and IT leadership team.
  • Maintain assigned Outlook Calendars to ensure meetings are booked accurately, rescheduled as needed, and remind executives of times and locations to maximize time.
  • Plan, organize and facilitate meetings, special events, activities, catering needs, etc.; ensure cost-effective use of resources to meet customer needs.
  • Handle information requests, conduct research, prepare correspondence, agendas, handouts, expense reports, statistical reports, presentations, and arrange conference calls.
  • Stay current on business operations and areas of expertise to direct inquiries to the appropriate IT leadership team member for resolution and elevate service levels.
  • Maintain office supplies inventory and manage procurement for the Richmond 4501 building and occupied floors; anticipate needs and verify receipt of supplies.
  • Other duties as assigned by the CTO, CISO and/or IT leadership team.

Education

  • Bachelor’s degree preferred.

Work Experience / Skill Set

  • 2+ years’ experience in an administrative assistant role.
  • Experience working in an IT organization preferred.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, SharePoint).
  • Experience with M365 Copilot (preferred).
  • Excellent written, verbal and interpersonal communication skills, including presentations, with ability to assist in developing an overall communication plan.
  • Maintain the highest integrity and confidentiality.
  • Strong organizational skills and ability to manage and prioritize multiple assignments.
  • Ability to gather and summarize information for reporting purposes.
  • Experience in a team-oriented, collaborative environment.
  • Works under general supervision of senior management.
  • Ability to recognize and solve issues with limited or no supervision.
  • Regular, predictable onsite attendance is required.
