The Deputy Chief Operating Officer (Deputy COO) will support the leadership of a private family’s Residences & Personal Services Company by overseeing day-to-day management of the Family’s residential properties. Reporting to the COO, this role ensures properties are maintained to the highest standards, supervises household staff, coordinates vendors and service providers, and manages ongoing maintenance, budgets, and projects across a portfolio that includes 19 homes primarily in the Bay Area, with properties in Marin County, Palm Springs, New York City, and Florida. The Deputy COO serves as the primary point of contact for property-level operations, providing hands-on oversight and ensuring seamless household experiences while escalating strategic or complex matters to the COO. This role requires strong experience in luxury residential property and facilities management, excellent organizational and leadership skills, discretion, and frequent travel throughout the Bay Area, with occasional out-of-state travel. Responsibilities

Financial, Legal & Administrative Management Annual Operating & Capital Expenditure Management: Prepare and track each property’s annual operating budget. Partner with the Families to create and execute an annual capital improvement plan per property, establishing priorities, timelines, budgets, and project teams. Bill Pay & Expense Controls: Manage household and property-related expenditures, document and reconcile vendor invoices and staff purchases, and approve vendor payments. Reporting & Communications: Schedule regular meetings with the Family to review financial, legal, operational, and administrative matters; provide relevant business analytics; communicate directives to the organization; and update Family members, staff, and external stakeholders on activities. Risk Management: Maintain confidentiality and discretion; support disaster preparedness, evacuation procedures, physical safety protocols, emergency contacts, medical support, security personnel, background investigations, and NDA processes; ensure security of technology resources. Legal & Contract Administration: Identify and engage outside legal counsel as needed; monitor budgets and contracts for adherence to agreements and regulatory compliance. Insurance Tracking: Maintain coverage for residences, construction projects, lots, vehicles, and high-value items. Database Management: Develop property and personal services databases and digital inventory documentation systems; perform quality and condition checks; create efficient workflows. File Management: Maintain company-wide filing systems for residences, employees, vendors, tenants, operations, budgets, inventories, and projects. Staffing & Governance: Manage PEO relationships, draft job descriptions, oversee recruitment and performance reviews, and provide salary and benefits recommendations; Onboarding & Training: Implement onboarding and training programs; mentor staff and support ongoing professional development. Staff & Vendor Management: Coordinate communication among family members, employees, and external vendors; ensure vendors meet security and confidentiality protocols. Standard Operating Procedures: Develop and oversee standardized procedures, QA standards, and training programs as requested by the Family. Scheduling: Align staff duties with family needs and coordinate schedules and time-off requests. Vendor & Supplier Relationships: Build strong vendor relationships to ensure premium service and competitive pricing; represent the Company and Family to vendors as appropriate. Facilities & Property Management Family Representation: Represent the Family to neighbors, colleagues, service providers, consultants, and legal partners. Property Acquisition and Divestiture: Support real estate opportunities, assess properties, and evaluate market conditions. Design & Construction Management: Oversee renovations and improvements per Family direction; coordinate with managers, designers, builders, and legal professionals; communicate progress and maintain Family interests. Property Advance: Travel between properties to provide oversight, including visit preparations and occupancy readiness, project management, and staff coaching. Move Management & Storage: Oversee high-end moves, AV/IT, wine and art handling; manage off-site storage inventories. Property Systems Management: Implement access, maintenance logs, documentation, warranties, and security services per property. Repair & Preventative Maintenance: Develop maintenance programs; track tasks and budgets; ensure timely service and updated records. Rental Properties & Tenant Relationships: Manage rental properties and coordinate with tenants as the Family’s representative. Household, Personal & Special Project Services Service Delivery: Act as primary contact for housekeeping, childcare, culinary, executive/personal assistant support, and related operations; provide periodic reports on progress. Organizational & Operational Communication: Ensure smooth information flow among personnel for efficient operations and enhanced service. Property Advances: Travel to properties for oversight and staff development. Event Management: Plan and execute events and entertaining experiences with the Family and staff. Collection Management: Maintain inventories of collectibles, licensing and provenance, and support purchasing/selling with proper records. Travel & Logistics Oversight: Support executive travel, source rental solutions for family vacations. Property Content & Personal Effect Inventory: Maintain inventories of furnishings, finishes, and archival items. Required Qualifications

Minimum of ten years of proven Family Office experience in a senior executive role with autonomous responsibility for a stand-alone business unit or company. Significant experience in property management, such as Owners’ Representative and/or Construction Manager. Extensive experience in luxury residential development, design, and construction project management, including contract negotiation and large team oversight. Knowledge of local codes, property regulations, and legal requirements. Adept in personal service, residential property and home management, hospitality, and property acquisition/divestiture oversight. Familiarity with equine and ranch operations preferred. Experience maintaining a private employer’s confidentiality, safety, security, and privacy. Experience building teams through talent acquisition and best practices for efficiency. Tech-savvy: proficient with Google and Apple products, Outlook, Zoom, and PM/messaging tools. Discretion, independence, high accuracy, attention to detail, and strong communication skills. Ability to work with Family members, colleagues, employees, and vendors; manage competing demands with tact. Strong written and verbal communication; ability to distill information concisely. Flexibility with non-traditional work hours and up to 20% travel. Compensation & Benefits
