Job Description

About Us

We’re a fast-growing tech startup based in Menlo Park, building innovative solutions at the cutting edge of [insert industry focus: AI, SaaS, fintech, etc.]. Backed by leading investors and on track for rapid expansion, we’re looking for an Administrative and Operations Assistant to be the backbone of our day-to-day operations and help build the systems that will scale with us.

The Role

You’ll wear many hats—part project manager, part office manager, part operations lead. You’ll make sure the trains run on time, the team has what it needs to succeed, and our processes are sharp enough to keep up with growth. This is a hands-on role with direct exposure to the leadership team and a chance to grow alongside the company as we scale.

What You’ll Do

  • Own office operations: vendor management, supplies, facilities, and administrative support.
  • Partner with leadership to design and improve internal processes and workflows.
  • Coordinate meetings, events, and offsites—from team building to board meetings.
  • Support finance and HR operations: expense tracking, onboarding/offboarding, benefits administration, and compliance.
  • Manage scheduling, calendars, and travel logistics for executives.
  • Assist with company communications, documentation, and special projects.
  • Be the go-to problem solver—jumping in wherever needed to keep the company moving.

What We’re Looking For

  • 2–5 years of experience in operations, administration, or office management (startup experience a strong plus).
  • Highly organized and detail-oriented, with excellent project management skills.
  • Strong written and verbal communication skills.
  • Tech-savvy and quick to learn new tools (e.g., Slack, Notion, Airtable, GSuite, Zoom).
  • Comfortable juggling multiple priorities in a fast-paced, evolving environment.
  • Proactive, resourceful, and adaptable—you thrive in startup ambiguity.
