Superior Court Clerk
This is advanced, technical clerical and supervisory work in the Superior Court. Work involves responsibility for performing a wide variety of technical operations that constitute the majority of the incumbent's work tasks and time, frequently requiring specialized clerical knowledge and application of detailed procedures. Work involves functioning as a supervisor of a small work section/unit (i.e., traffic, family, criminal, civil/small claims, jury or probate) and may require assuming courtroom duties as necessary. Participates in interviewing applicants and may make hiring recommendations. Also participates in setting work standards, work improvements, and conducting performance evaluations. Work requires the use of independent judgment and is performed under the general supervision of the Clerk of Court, Chief Deputy Clerk or Senior Deputy Clerk and is reviewed through conferences, reports and based on results obtained. Duties and responsibilities include: Providing comprehensive court clerical services in an assigned division of the court; reviewing court clerical work; providing supervision and direction to subordinates and monitoring and coordinating workflow in the office or work unit; assigning and prioritizing job duties; resolving personnel problems; attending supervisors' meetings. Training employees, preparing work schedules; preparing monthly schedules of courtroom clerk assignments. Participating in and coordinating the scheduling and calendaring of cases and preparation of notices to parties for scheduling and continuances; sending out notices to parties and checking returns; rescheduling if required, within established guidelines. Preparing judge's court calendar, trial, pre-trial hearing and disposition calendars and gathering and reviewing case files to make certain records are in order prior to hearings; serving as required in courtroom; swearing witnesses; arranging and organizing the calendar, noting continuances, making record of proceedings to reflect case progress. Maintaining daily contact with judges in responding to their requests for documents or other information; with the general public, attorneys and representatives from outside agencies for the purpose of answering questions relative to court policies and procedures, providing referrals for further assistance, providing information on case status and court records, and giving assistance with the processing of applications and documents; contacting local law enforcement for the purpose of exchanging information on court cases and proceedings. Reviewing pending cases and setting those that are ready for pre-trial conferences and jury selection. Certifying orders and notarizing documents. Advising pro se litigants on case filing requirements. Preparing a variety of orders, documents and correspondence requiring a detailed knowledge of applicable terminology, rules and procedures. May be responsible for jury coordination; selecting jury panels; participating in jury orientation. Managing court records. Preparing various statistical reports as required by the area of assignment. Participating in general case processing activities as required, from initial case filings to case terminations, via manual log or computer data entry. Other duties as assigned or required. Minimum qualifications include: Any combination of training and work experience which indicates possession of the knowledge, abilities and skills listed above. An example of an acceptable qualification for this position is: Graduation from high school or vocational school and 5-7 years' experience as a Court Clerk II or similar court-clerical capacity with a minimum of 2 years of supervisory experience or a minimum of 6 years of court-specific clerical experience with an Associate's degree in business or related field and 2 years of supervisory experience. Position factors include: Thorough knowledge of court procedures and policies, legal documents and terminology, code and legal functions pertaining to the court. Thorough knowledge of the operations, functions, and scope of authority of activity to which assigned. Thorough knowledge of appropriate procedures for processing a variety of legal documents. Thorough knowledge of modern office practices and procedures. Thorough knowledge of the automated court information system. Thorough knowledge of appropriate procedures for proper record maintenance and retention. Ability to understand oral and written instructions. Ability to make work decisions in accordance with code, regulations, and departmental policies and procedures. Ability to organize workflow and meet deadlines as well as plan and coordinate the daily work of other employees engaged in a variety of activities. Ability to maintain a variety of complex records and prepare reports from such records. Ability to provide guidance to employees engaged in a variety of activities. Ability to establish and maintain effective working relationships with others. Ability to express ideas concisely and clearly; orally, and in writing. Skill in the operation of a typewriter, other standard office equipment, and a personal computer. Skilled in working under pressure of deadlines and maintaining a professional demeanor during stressful situations. Must exemplify the desired Court culture and philosophies.
