Account Receivable Clerk

The Accounts Receivable Clerk is responsible for managing the invoicing and collection process to ensure timely and accurate receipt of customer payments. This role involves applying payments, reconciling customer accounts, and maintaining accurate financial records. The clerk communicates with customers regarding billing inquiries, resolves discrepancies, and follows up on overdue accounts. They generate reports, such as aging summaries, and support internal departments by coordinating on billing and payment issues. Strong attention to detail and excellent communication skills by phone, email, and in person are essential. Basic knowledge of accounting software is required for success in this role. Essential Functions: Apply payments to customer accounts accurately. Identify and resolve unapplied or misapplied payments. Ensure all deposits are accurately reconciled between NetSuite and other financial reports. Contact customers, including international customers, about delinquent accounts. Maintain up-to-date records of customer accounts. Reconcile discrepancies between payments and invoices. Send reminders and statements; escalate overdue accounts as needed. Collaborate with sales or management on disputed invoices. Prepare accounts receivable aging reports. Provide summaries of receivables to management. Respond to customer inquiries regarding billing or account status. Provide copies of invoices, statements, or payment receipts upon request. Maintain organized records of invoices, receipts, and correspondence. Coordinate with sales, shipping, and customer service to resolve billing issues. Work with accounting team during month-end close. Follow internal controls and accounting policies. Ensure compliance with company procedures and external regulations. Ensure proper documentation for audit and/or compliance purposes. Competencies: Strong communication skills. Good time management skills and the ability to prioritize responsibilities. Great attention to detail. Must be able to work under little to no supervision; Self-motivation required. Supervisory Responsibilities: None. Work Environment: The Accounts Receivable Clerk position works from the office. It promotes working in a team as well as individual setting. Physical Demands: Walk up a flight of stairs. Long periods of sitting. Travel Required: None. Required Education & Experience: High school diploma or GED equivalent. Preferred Education & Experience: Spanish speaker is a plus but not required.
