Administrative Specialist I

The primary purpose of this position is to serve as administrative support for Quality Improvement/Risk Management/Standards Management. The employee in this position coordinates and conducts audits as directed by the Director of Quality Improvement and participates in Risk Management activities such as the Event Review process. Job duties include the following: Responsible for the daily processing and maintenance of safety event forms as well as establishing points of contact with divisional office assistants in procuring and requesting needed forms. Perform clerical duties as required by management such as answering telephones, filing, submission of hiring packets through the NEO Gov hiring system. Completes work order requests, orders and maintains supplies. Maintains and tracks survey outcomes. Responsible for the operation and monitoring of the video surveillance system for safety and active treatment. Works collaboratively with QI Specialist I to track requested data developed by QI/Standards Management and works on other projects within the department. Assists the QI Specialist I by entering safety events in the event reporting, database system and/or the Electronic Health Record (EHR). Assists the Utilization Review Coordinator as needed to ensure successful continuation of ICF recertifications by submitting requested documents to the Managed Care Organization (MCO's). Qualified candidates must document on the application that they clearly possess all the following: Experience working as an office assistant/secretary, preferably in a medical environment. Must be organized and professional. Able to work in a fast-paced setting, with an ability to adapt to change. Ability to review and process information, such as analysis of data, to determine conclusions, actions, or compliance with applicable laws, rules or regulations. The ability to compile reports of considerable complexity concerning quality of care and safety events, privacy issues, and other issues brought to the attention of QI management. Knowledge in computer terminology and possession of computer skills (Spreadsheets/Tables/Word Processing Skills, and some knowledge of EHR). Knowledge of office or work procedures, methods and practices. Must be able to clearly communicate complex information to all levels of the agency. Must be able to maintain confidentiality and follow all processes associated with protections as outlined by the Patient Safety and Quality Improvement Act (PSQIA). High school diploma or General Educational Development (GED) diploma and two years of related administrative experience; or equivalent combination of education and experience.
