E-Billing Coordinator

Clifford Chance US LLP is seeking a full time E-Billing Coordinator. This role will be responsible for the end-to-end electronic billing process, ensuring the accurate and timely submission of invoices in compliance with client-specific requirements and guidelines. Responsibilities include identifying and troubleshooting eBilling issues, maintaining data integrity, and collaborating with internal teams and clients to facilitate successful billing. Additionally, the role provides general administrative support to the broader E-Billing team. This position can be based in Washington DC, or Houston, TX and will report to the Client Compliance Manager. Responsibilities include: Submit invoices electronically via various eBilling platforms and intermediaries, ensuring full compliance with clients' eBilling guidelines and requirements. Coordinate with the Billing Team to review, correct, and resubmit rejected or reduced eBills promptly. Maintain and update client and matter information in the firm's billing system to ensure accurate setup and alignment with client billing protocols. Monitor and report the status of eBill submissions in the firm's eBilling portal, maintaining clear communication on progress and outstanding issues. Ensure that all finalized billing copies are received from the Billing Team and submitted through the appropriate eBilling platforms each month. Collaborate with the Collections Team to track the status of re-submitted invoices and assist in resolving payment delays or discrepancies. Maintain, track, and regularly update the firm's eBilling log, including submission dates, rejections, reductions, and payment statuses. Confirm successful submission of eBills and dispatch copies to appropriate internal stakeholders and/or clients as required. Troubleshoot technical issues related to invoice uploads or platform errors, working with vendors or IT when necessary to resolve problems. Stay current on client-specific billing requirements and updates to ensure ongoing compliance and reduce the risk of invoice rejections. Provide general administrative support to the E-Billing Team, including preparing reports, maintaining documentation, and responding to internal and client inquiries. Qualifications include: 1-2 years of relevant E-Billing experience in a law firm or professional services environment required. Minimum high school diploma or equivalent required. Bachelor's degree in business, accounting, or finance preferred. Proven track record of providing superior client service while building a strong rapport at all levels of an organization with both internal and external clients. Ability to work under pressure and demonstrate flexibility with competing demands of internal and external clients. Must be a strategic, analytical thinker with strong critical thinking and problem-solving skills. Excellent time management, organizational, interpersonal skills. Strong written and verbal communication skills. Must be detailed oriented with the ability to readily identify issues that could impede processes while taking the initiative to provide solutions. Proficiency in Microsoft Office Suite, including strong Excel skills for data analysis and reporting. Ability to work independently in a fast-paced environment with minimal supervision within a team-oriented environment. Must be able to adhere and comply to the Firm's Agile Working Policy which requires employees to work from the office at least three days each calendar week. Must be independently legally authorized to work in the United States. Clifford Chance US LLP offers a comprehensive benefits and compensation package. The salary range for this role is $80,000 - $100,000. Actual salary will be commensurate with the candidate's qualifications and relevant experience.
