Customer Services Clerk
This position is responsible for data entry/spreadsheet development for special projects, composing letters/contract renewal announcements and independently managing customer service requests regarding complex issues/problems. This position also works with a team of professionals and support staff in establishing and administering contracts for product and services in the Northern California Region. The position is responsible for providing customer service to all CSA and regional customers and suppliers. Essential Responsibilities: Open and distribute mail, contracts and designated reports. Receive incoming calls, transfer calls promptly, and efficiently. Expedite purchase orders. Greet visitors and suppliers. Process check orders request, orders department supplies, schedules conference rooms, conference calls, and luncheon for meetings/holidays. Coordinate departmental moves. Other responsibilities include copying, faxing, filing, light billing, checking/coding invoices. Data entry (will be trained on TIMS for processing contracts, changes orders, and items adds). Create spreadsheets from reports, assist with all mass mailings, and interact successfully with all levels of management, employees, customers and business partners. Basic Qualifications: Experience Minimum two (2) years previous clerical experience, demonstrated telephone communications skills, i.e., handling all internal and external calls with diplomacy and discretion. Per the National Agreement, current KP Coalition employees have this experience requirement waived. Education High School Diploma or equivalent. License, Certification, Registration N/A Additional Requirements: Computer skills required (MS office), familiarity working in a PC Windows environment. Knowledge of Lotus Notes and mainframe programs Ability to interact with supplier, internal and external staff and management in a courteous and confidential manner. Must have good customer service skills. Ability to work independently, organize and complete work with limited supervision. Must be able to work in a labor - management partnership environment. Preferred Qualifications: Minimum two (2) or more years related experience preferred working in a health care environment.
