Job Title: Human Resources Administrative Assistant
Department: Human Resources
Reports To: Director of Human Resources
Employment Type: Full-Time (12-Month Position)
Position Summary:
The Human Resources Assistant supports the daily operations of the HR Department within the school system. This role assists with recruiting and onboarding school staff, maintaining accurate employee records, supporting compliance with education-related employment regulations, and serving as a point of contact for HR-related inquiries from school personnel.
Key Responsibilities:
- Assist with the recruitment process, including posting job vacancies, scheduling interviews, and processing background checks and credentials for teachers, administrators, and support staff.
- Maintain and update employee personnel files in compliance with school district policies and state education regulations.
- Prepare new hire packets and facilitate onboarding for certified and non-certified school employees.
- Track employee certifications, licensure renewals, and professional development requirements.
- Support administration of employee benefits, leave requests, FMLA, and workers compensation claims.
- Process employee changes, terminations, and transfers in coordination with payroll and school administration.
- Respond to HR-related inquiries from teachers, staff, and administrators in a timely and professional manner.
- Assist with audits, reporting, and compliance documentation as required by district, state, and federal guidelines.
- Support employee recognition programs and staff development initiatives.
- Conduct Substitute and Workforce Training.
Qualifications:
- High school diploma or equivalent required; Associates or Bachelors degree in Human Resources, Education Administration, or related field preferred.
- Previous experience in human resources or administrative work, preferably in an educational or public sector setting.
- Knowledge of employment laws, school personnel procedures, and HR best practices.
- Proficient with Microsoft Office Suite and HR information systems (HRIS); experience with school HR software (e.g., BambooHR, PowerSchool) is a plus.
- Excellent organizational and communication skills.
- Ability to handle confidential information with discretion.
- Strong attention to detail and ability to multitask in a fast-paced environment.
Working Conditions:
- Primarily office-based within a school district administrative office.
- Occasional visits to schools within the district may be required.
- Standard weekday hours, with some flexibility for evening meetings or events.
