Overview

The Illinois Department of Commerce and Economic Opportunity (DCEO) Office of Trade and Investment is seeking to hire an Administrative Assistant II. This position will serve as the administrative assistant to the Deputy Director of the Illinois Office of Trade and Investment, working closely with other team members in an administrative capacity. The Administrative Assistant II will support the Deputy Director in all office administrative functions, contributing to efforts that ensure the office is organized, coordinated, and provides resources to enable staff to be highly productive. The Illinois Office of Trade and Investment promotes Illinois internationally as a place to expand business, provides export assistance, and facilitates bilateral engagement with foreign governments. Essential Functions

  • Under general direction, serves as confidential assistant to the Deputy Director of the Office of Trade and Investment and performs a variety of administrative functions relating to the operation and activities of the office.
  • Directs and coordinates with Office staff in the implementation of programmatic reports and studies regarding international programs and operations.
  • Provides strategic oversight and operational support to staff in the execution of their assigned responsibilities.
  • Acts as a liaison to the department’s human resources office and coordinates office timekeeping and inventory control.
  • Attends meetings for the Deputy Director.
  • Acts as a liaison for the Office of Trade and Investment and other agencies and organizations regarding international programs and policies.
  • Performs other duties as required or assigned within the scope of duties enumerated above.

Minimum Qualifications

  • Requires the knowledge, skill and mental development equivalent to completion of four (4) years of college with courses in public or business administration.
  • Requires two (2) years of progressively responsible professional experience in a public or private organization.

Preferred Qualifications

  • Prefers two (2) years of experience in analyzing and evaluating complex problems and developing and implementing effective solutions, interpreting agency policy and procedures, and explaining problems and solutions clearly.
  • Prefers two (2) years of experience in organizing and coordinating assignments or projects with federal, state, or local agency partners.
  • Prefers two (2) years of experience in writing, organizing, and reviewing a variety of written reports with supervisors and team members.
  • Prefers two (2) years of experience in using communication skills to engage with staff and partners in diverse settings.
  • Prefers two (2) years of experience using Microsoft Office Suite, web navigation, e-mail management, and electronic file storage.
  • Prefers customer service experience in both the public and private sector.
  • Prefers two (2) years of experience working with individuals from diverse backgrounds, including those for whom English is not their native language.

Conditions of Employment

  • Requires the completion of a background check and self-disclosure of criminal history.
  • Requires the ability to travel in the performance of duties, with overnight stays as appropriate.
  • Requires the appropriate, valid driver’s license.
  • Overtime may be required from time to time to accommodate international time differences or participate in events outside of normal working hours.
