Purpose To provide high-level administrative support to ensure efficient operation of the office. The Administrative Assistant will support managers and employees through a variety of tasks related to organization and communication.
Position Summary The Administrative Assistant is responsible for handling clerical tasks, managing schedules, coordinating meetings, maintaining filing systems, and supporting day-to-day office operations. This role requires professionalism, discretion, and strong organizational skills to contribute to a productive and welcoming work environment.
Key Responsibilities
Answer and direct phone calls in a professional manner
Organize and schedule appointments and meetings
Prepare and edit correspondence, reports, and presentations
Maintain contact lists and manage email communications
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system (electronic and paper)
Order office supplies and research new deals and suppliers
Book travel arrangements and process expense reports
Act as the point of contact for internal and external clients
Provide general support to visitors and staff
Handle sensitive information with confidentiality
Qualifications
High School Diploma or GED required
Proven experience as an administrative assistant or office admin assistant
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
Excellent time management skills and ability to multitask
Strong written and verbal communication skills
Attention to detail and problem-solving skills
Professional appearance and demeanor
Ability to work independently and as part of a team
