Secretary 2 - 260 Days - Food Service

POSITION SUMMARY:
The Secretary - Food Service is responsible for coordinating and reporting on the activities in the Food Service Department so that the maximum positive impact on the education of children can be realized. Provide administrative support to ensure that operations are maintained in an effective, up-to-date, and accurate manner.
ESSENTIAL FUNCTIONS: Responsible for all clerical duties associated with the effective performance of duties related to Food Service. Greet callers by telephone; provide timely information and refer callers to the appropriate department for assistance. Document accurate messages. Communicate effectively with district staff, parents, vendors and other stakeholders as needed. Prepare and process all invoices, both food and non-food related to Food Service. Submit invoices to accounts payable for payment. Invoice organizations and departments for special services and catering events. Submit rebates to manufacturers and monitor manufacturers' promotions. Record each school's weekly deposits and submit it to the Finance Office. Assist parents with student meal accounts in Infinite Campus. Order bank and office supplies for the Food Service office and cafeterias. Process free and reduced meal applications in respective system. Send direct certification, approval of free and reduced benefit and verification notices to parents. Coordinate substitute employees for call-ins for each school kitchen. Prepare, review, and submit routine correspondences, spreadsheets and reports as needed to support the Director of Food Service. Perform miscellaneous clerical duties including typing, filing, copying, sorting/distributing mail, etc. Coordinate and report on the activities of the assigned area (i.e., dispatches emergencies, scheduling, invoicing). Initiate work orders. Monitor and approve employee times in Timeclock and advise the Director of Food Service of any discrepancies. Complete pre-employment checklist including reference checks and assist new hires with employment initiation. Maintain database and employee files for Food Service and Warehouse personnel. Assist the Director of Food Service with preparation of food bids for yearly purchases of grocery items, milk, bread, chemicals, paper, and equipment. Assist with bid openings. Analyze bids with the Director of Food Service to determine lowest bidder, notify vendors and send product lists. Assist with training, educating, and supporting district staff and stakeholders on Food Service related programs and services. Participate in appropriate training, workshops and meetings as needed. Follow all district policies and procedures. Perform all other duties as assigned. ESSENTIAL SKILLS AND ABILITIES:
Ability to positively communicate and work effectively with colleagues, supervisors, parents, students, various clients and stakeholders. Ability to exercise sound judgment. Ability to handle stressful situations. Ability to sit at a computer station for extended periods of time. Use of personal computers and related software, chrome books, copiers, eFax, calculator, multi-line phone system. Knowledge of Google Suites, Microsoft Suites, SISFin, Infinite Campus, and Time Clock. Ability to accomplish tasks that are often interrupted by persons with special and/or immediate needs. Must possess effective written and verbal communication skills. Strong attention to details. Ability to read, analyze, and determine a course of action based on various types of written and verbal information. Ability to maintain confidentiality. Ability to comprehend and construct detailed and technical memos, letters, and correspondence. Demonstrate effective organizational skills and efficiency in a high energy and fast paced environment. Ability to work independently with minimum supervision and the ability to apply common sense understanding and demonstrate initiative to act without being asked. Ability to prepare and maintain accurate files and records and the ability to read, analyze, and interpret information. Demonstrate a commitment to be a team player and to help colleagues as needed. Establish and maintain effective working relationships with colleagues. BASIC REQUIREMENTS:
High School Diploma or equivalent. Secretarial experience preferred. Minimum of 3 years of experience in a business environment or school district preferred. Experience in a previous position within a school is preferred. Experience with Infinite Campus and SiSFin is preffered Complete 10 hours of continuing education per year as required by USDA
