ADMINISTRATIVE ASSISTANT- INFORMATION TECHNOLOGY DEPARTMENT

GENERAL DEFINITION OF WORK:

FLSA Status: Non- Exempt

The Administrative Assistant provides high-level administrative support to the Information Technology (IT) Department. This position is responsible for ensuring efficient day-to-day operations of the department, assisting with project coordination, maintaining records and documentation, managing communications, and supporting IT leadership and staff. The role requires strong organizational skills, discretion in handling sensitive information, and the ability to balance multiple priorities in a fast-paced environment.

ESSENTIAL FUNCTIONS/TYPICAL TASKS:

Serve as the primary point of contact for departmental communications, including answering phones, managing correspondence, and directing inquiries to appropriate staff. Prepares, proofread, and format documents, reports, presentation, and meeting materials. Maintain department files, databases, and record-keeping systems (both electronic and physical). Schedule and coordinate meetings, trainings, and appointments for IT staff and leadership. Assist with preparation and tracking of purchase orders, invoices and departmental budget expenditures. Maintain inventory of IT equipment, supplies, and software licenses. Support the Director in vendor communications and contract administration. Assist with IT project tracking, timelines, and status updates. Coordinate staff training schedules, help track certifications and maintain compliance documentation. Support onboarding and offboarding processes by preparing necessary paperwork and coordinating with IT staff on equipment assignments. Monitor and compile help desk service metrics and generate routine departmental reports. Maintain confidentiality of sensitive information, including user accounts, security details, and personnel information. Perform other related duties as assigned by the Director of Information Technology.

KNOWLEDGE, SKILLS AND ABILITIES:

Experience supporting an Information Technology department or technical staff. Familiarity with IT terminology, basic hardware/software inventory or service ticketing system. Experience with financial tracking, procurement systems, or government purchasing procedures.

EDUCATION AND EXPERIENCE :

A high school diploma or equivalent is required; Associate's degree or coursework in office administration, information systems, or related field preferred. Two (2) years of experience in an administrative, clerical, or office support role (public sector or IT environment preferred). Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Power point) and comfort learning new systems. Strong organizational and time-management skills with attention to detail. Excellent written and verbal communication skills. Ability to handle confidential information with discretion.

PHYSICAL REQUIREMENTS:

Duties performed typically in an office setting. Frequent walking, standing, sitting, stooping, lifting up to approximately 30 pounds, and occasional lifting of equipment such as technology equipment weighing up to approximately 75 pounds may be required. Frequent operation of a vehicle and office equipment is required. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities; the worker is subject to inside and outside environmental conditions, noise, and hazards. Contact with staff members is required. Occasional contact with technology professionals may be required. Frequent contact with vendors and other technicians by phone, email, or in person is necessary.

WORKING CONIDTIONS:

Standard office environment with frequent use of computers and office equipment. Schedule is full-time, Monday-Friday, with occasional evening or weekend work to support IT projects or emergency responses.
