The Oblate Service Corporation is seeking applicants for a PASTORAL LAY FORMANTION CERTIFICATE PROGRAM ADMINISTRATIVE ASSISTANT position at the Oblate School of Theology (OST). The Oblate School of Theology is a graduate and professional school that provides education in Catholic theology for the church's mission and ministry in the world. PLFCP ADMINISTRATIVE ASSISTANT

POSITION STATUS:

Full-time, Non-Exempt SUMMARY:

The Administrative Assistant (AA) in the Department of Pastoral Lay Formation Certificate Programs assists the Pastoral Lay Certificate Programs Director with various administrative and office support activities for the Certificate Programs and its ministries. The AA provides essential clerical and organizational support, including confidential, time-sensitive materials related to the operations of multiple programs. The AA collaborates with all key participants to plan and carry out program objectives. Manage and maintain filing systems, both electronic and physical pertinent to students and instructors in the respective programs.

Draft and edit correspondence, emails, and reports. Handle incoming and outgoing correspondence. Edit, format, and, translate PowerPoint presentations for class curriculum.

Update documents, presentations, and vital information onto the Moodle platform. Manage and facilitate technology during scheduled class times, i.e., Zoom and Moodle. Schedule and coordinate virtual and in person meetings, events; attends and assists at events as required. Answer phone and greet visitors. Prepare printed documents as needed. Order office supplies and manage supply inventory. Perform additional related tasks as required or requested by the Pastoral Lay Certificate Programs Director.

WORK

HOURS : Variable Hours up to 40 hours per week. Monday and Tuesdays require evening

hours from 6:30 p.m. to 9:30 pm with occasional weekends.

EDUCATION/SKILLS:

High school diploma or equivalent, required. Associate's degree preferred. 2-3 years equivalent work experience in higher education required. Bilingual Spanish-English proficiency, required. Computer Proficiency in MS Office, Google Workspace, Zoom Video Conferencing, and, Moodle (LMS), required. Strong organizational skills required. Strong multi-tasking and time-management skills required

Knowledge of Catholic Faith tradition, function, and common practices, required

Exceptional communication and interpersonal skills required. Problem solving and

decision-making skills .

Attention to detail and adaptability to changing priorities and
