Hiring Goal

The company seeks a professional who is detail-oriented and proactive. This Administrative Assistant will support 3 (manageable) executives with calendar management, travel coordination, and expense reporting. This individual will provide light operational support while we finalize a dedicated operations resource. ROLE OVERVIEW

Executive Support: 50%

Manage and prioritize three calendars, ensuring efficient scheduling across multiple US time zones Coordinate travel, including flights, hotels, and ground transportation Prepare and reconcile expense reports promptly and accurately via Concur Provide out-of-office support for EA to CEO & CPO Operations Assistance: 40%

Order and maintain food and beverages for the kitchen/break room Replenish supplies for mail/copy Employee keycard logistics Assist with event planning and logistics for team events and corporate gatherings Manage incoming deliveries and coordinate outbound FedEx and mailing needs Welcome and direct office visitors, ensuring hospitality standards are met Act as a secondary point of contact for operations-related administrative tasks Transition to the main point of contact for building management Parking coordination for remote employees & guests Monitor corporate phone lines and assist with general corporate inbox Office Coordination: 10%

Arrange meeting catering for the operations team and ensure meeting rooms are set up with required technology and supplies Assist with small team celebrations (e.g., monthly birthdays) Desired background and attributes

Candidates will be considered in the totality of their skills and experience versus strict interpretation of "must haves."

Administrative experience where your skills align with 75% of the roles needs Strong organizational skills with the ability to juggle multiple priorities Excellent communication skills, both written and verbal Experience with Microsoft Office Suite (Outlook, Excel, Word) & Adobe preferred Very comfortable with using Teams and coordinating digital meetings A proactive, problem-solving mindset and a willingness to "own" administrative tasks Ambition to grow into an Executive Assistant role over time Knowledge of Concur, highly desired Be technically savvy and resourceful and industrious (i.e., find ways to consolidate responsibilities with intuitive technology resources) A notary or willing to become one, highly desired Company Offerings

Hours : Monday through Friday, 8:00am - 5:00pm. This role is 4-days in office. Salary : $65k to $75k. Discretionary Bonus. 401(k)/Profit sharing : Company matches 4% if at least 5% is deferred. 100% vested. Participation begins 60 days after the start date. Vacation : The company has an unlimited vacation policy. Vacation days are not tracked. The company requests vacation days are taken at times that are not critical to the organization. PSL (Paid Sick Leave) : Separate from Vacation, company offers accrued PSL: 1-hour after every 30-hours worked.
