This
full-time, hybrid role
involves both
office and field work . The right candidate will have a strong work ethic, construction software proficiency, and a positive, professional attitude. You’ll work closely with InDev’s two principals, contributing to the success of projects from idea to execution. Key Responsibilities: Project Administration: Draft and issue client contracts and subcontracts via DocuSign
Organize and maintain subcontractor documentation, including COIs, W-9s, and payment forms
Maintain project checklists, directories, and stage reporting
Track, scan, and log all Preliminary Notices
Manage document uploads and updates in
Procore
Organize project files on the company server
Prepare project
Close-Out Packages
and obtain
Final Unconditional Releases
Assist Superintendent with
Job Cost Reports
and process subcontractor invoices
Project Engineering (Training & Support): Set up and manage document control systems (submittal and RFI logs)
Review and track submittals, especially long-lead items
Document and distribute weekly
InDev Management Meeting Minutes
Update
project schedules
based on field logs and meetings
Estimating Support: Analyze construction plans and specifications
Develop scopes of work and generate RFIs
Upload and track bid packages in Procore
Assist with obtaining competitive bids and preparing detailed project estimates
Required Skills: Typing speed of 50+ WPM
Proficiency in
Microsoft Office Suite , especially Excel, Word, and Project
Experience with
Adobe Acrobat, Bluebeam , or other PDF editors
Strong written and verbal communication skills
Ability to read and interpret construction documents
Highly detail-oriented and able to manage multiple priorities
Tech-savvy and quick to learn new platforms
Qualifications: Associate or Bachelor’s degree in
Business Administration ,
Construction Management , or related field (or currently pursuing)
2+ years of administrative experience
Proficiency in
Autodesk AutoCAD, Revit , or
SketchUp
Experience using
Procore
