Job Description

Are you detail-oriented, organized, and ready for a fast-paced role supporting a busy sales team? A well-established, growing construction materials company is seeking an Administrative Assistant to help with sales order administration and ensure smooth day-to-day operations. This role is ideal for someone who thrives in a structured environment, enjoys process-driven tasks, and excels at cross-functional collaboration.


Compensation: $24-$26/hr

Availability: Monday to Friday, 7-3:30 PM. Initially, training will be conducted on-site. After training, the role will transition to a hybrid model with 2 days working remotely on Mondays and Fridays, and in-office from Tuesday to Thursday.


What You’ll Do

  • Generate and review pre-invoice reports to ensure accuracy before processing.
  • Support billing by reviewing priced order reports, adjusting tickets, and conducting final invoice reviews.
  • Process credit card transactions and cash sale packets
  • Enter and update project details and pricing in the company systems
  • Maintain and archive sales and billing documentation
  • Maintain records and archive important documentation, including lost load reports, sales tickets, and invoices
  • Respond to customer inquiries related to invoices, orders, and documentation
  • Mail invoices and relevant documentation to customers.
  • Assist with reception duties, including greeting visitors and handling walk-ins.
  • Settle credit card pre-authorizations and cross-check charges for accuracy.
  • Verify charges for cash sale transactions and process cash sale packets.


What We’re Looking For

  • Bachelor’s degree in business, accounting, communications, or a related field (preferred) OR equivalent work experience.
  • Prior experience in administration, billing, finance, or sales support is a plus
  • Strong organizational and time-management skills with the ability to meet daily deadlines
  • Ability to work independently in a high-paced environment
  • Possess and demonstrate excellent analytical thinking skills
  • Excellent customer service and communication skills with a positive and friendly attitude
  • Knowledge and understanding of sales processes, tools, and methodologies
  • Proficiency with Microsoft Office and the ability to learn new software quickly
