Overview
Administrative Assistant
The Administrative Assistant's role is to support the English Department through office management, overseeing the department's fiscal operations, and directly assisting the Chair. The English Department is comprised of 45 full-time faculty members, 35 part-time faculty members, and 30 teaching graduate students. There are currently two student workers who help with administrative tasks as well as a temporary worker; and we also expect the duties of this position to evolve as we go through a period of administrative transition, including the possibility of bringing in a second full-time administrative assistant.
Responsibilities
- Manage the department's operating budget, several program budgets, and faculty with research grants. Tasks include relaying reimbursement requests, helping track expenses, and making purchases.
- Create and update payroll for part-time faculty, order supplies, and allocate departmental financial aid to graduate students.
- Enter scheduling data into the course management systems; assist with registration at the start of each semester; help with academic advising events during the summer and academic year.
- Maintain confidential academic and financial records for faculty and graduate students in the department. Such record maintenance includes clearing M.A. and Ph.D. students for graduation.
- Help organize events, including reserving room and food; act as a contact for spaces of all kinds, including classroom change requests for faculty, new office requests and moves for faculty.
- Maintain a weekly departmental bulletin, help keep the office tidy and organized, and optionally manage social media accounts (Instagram primarily).
Position Details
Full-Time, Non-Exempt | On-Site Department: 053501 - English
Hiring Range: $25.60 / hr to $32.01 / hr. Pay rate commensurate with relevant experience.
Requirements
- High School Diploma
- One year of administrative experience, preferably in a higher education setting
