Executive Assistant & Site Coordinator - PacSci EMC Hollister

Hollister, CA (Onsite, 5 days/week)

VP / General Manager, Hollister

Role Overview

We are seeking a

highly capable Executive Assistant & Site Coordinator

to anchor executive operations and support broad engagement across the Hollister facility. This role prioritizes executive-level administrative support while also playing a vital role in site-wide communication, event coordination, and employee engagement.

Key Responsibilities

Executive Support

Provide day-to-day support to the GM, VP of HR, and VP of finance for Hollister, including complex calendar management, travel coordination (domestic), and expense reporting.

Anticipate leadership needs, prepare materials, and ensure readiness for all engagements.

Act as a liaison between the President of Pacific Scientific and the rest of the Executive Leadership Team, with specific focus on the VP/GM Hollister, VP of Growth, and VP of Commercial Operations, ensuring clear communication and follow-through.

Oversee critical follow-ups and deliverable tracking.

Prepare, edit, and finalize executive documents and communications.

Employee Engagement

Plan and execute all-hands meetings, leadership off-sites, and site-wide events.

Manage logistics for site visits, internal gatherings, and partner events.

Coordinate with vendors for catering, equipment, and services.

Draft and send internal communications to ensure consistent messaging.

Assist in space organization, planning, and reconfigurations.

Act as a hub for fostering onsite community and engagement.

Qualifications

Basic Requirements

HS Diploma or GED equivalent

Advanced degree preferred

3+ years supporting senior executives or leadership teams.

Proven experience with complex scheduling across time zones.

Outstanding organizational and multitasking skills under tight deadlines.

Strong written and verbal communication abilities.

High discretion in handling confidential matters.

Proficiency with Microsoft Office and other digital communication platforms.

Bonus or Equity

This position is also eligible for bonus as part of the total compensation package.

Pay Range

The hourly range for this position (in local currency) is $23.77 - $44.07

Is this role subject to ITAR?

The essential duties of this position require adherence to U.S. Government export control regulations.
