The Fellowship

(Chicago/Hybrid) The position of Project Manager, Organizational Operations is to support the organization's operational strategy by coordinating and managing key initiatives across the Finance, Technology, and Operations departments in support of the Fellowships’ five-year strategic plan. This position will serve as a strategic partner to internal teams and stakeholders, ensuring the seamless execution and alignment of operational goals with the organization's broader strategic plan. The project manager will develop project plans, manage deliverables and action items, identify needs, and assist in problem solving. In this role, the project manager will lead and motivate teams, fostering a collaborative environment and ensuring team members are aligned with project goals. This position reports directly to the Senior Director of Strategic Implementation and is based in our Chicago headquarters. We are seeking an individual with a Bachelor’s degree or equivalent experience. A minimum of 3 years of project management experience with demonstrated success. Certified Associate in Project Management (CAPM), Project Management Professional (PMP) or other Project Management certification preferred. Experience working with multi-disciplinary teams. Experience working in a fast-paced environment with changing priorities. Experience working on customer-facing projects (e.g. fundraising, direct response marketing disciplines) and back-end projects (e.g. operations, technology, finance). Essential Job Responsibilities Include: Global Grant Operations Lead the global Grant Operations Working Group, serving as a key facilitator to steward grants to partners, ensuring compliance, efficiency, and transparency in grant-making processes. Develop and monitor grant-related workflows and systems to optimize decisions and resource allocation across global operations. Organizational Budget Process Oversight Develop and oversee the timeline and workflow for the annual Budget process as well as the Budget reforecast process. Host essential trainings, develop, refresh templates, facilitate cross-functional meetings. Partner with the Finance team to align workflow with end report and organizational needs. Operations Focused Project Management Support the organization with program management on projects focused on process development, operation team needs, or projects supporting organizational strategic plan.
Identify key project team members, define roles and responsibilities along with a communication plan. Obtain buy-in and commitment from team members, including cross-functional teams (often times global cross-functional teams). Build trust and respect among team members. Provide detailed reports at regular intervals to key stakeholders and senior leadership. Ensure proper documentation of implementation plans throughout the duration of the work. Ensure organization’s ongoing access to reports and documents. Ensure smooth transition to new processes as needed with clear Standard Operating Procedures and facilitation of training as needed.
Knowledge Management & Continuous Improvement Support the Knowledge Management Working Group by facilitating initiatives identified as part of the organizational strategic plan in partnership with the Sr. Director of Strategy Implementation. Stay informed of emerging trends and tools in the field of knowledge management to enhance the organization’s capabilities. Technical & Individual Skills: Knowledge of project management techniques may be obtained from formal training for use with multi-disciplinary teams. Intermediate to advanced proficiency with MS Office;
knowledge/experience
using project management software highly desired. Partner and lead project teams without having direct management authority and successfully persuade team members to complete project needs with tactful and diplomatic communication tactics. Successfully motivate others for continuous improvement of project team performance. Teach others and build confidence in project management processes. Manage multiple projects that may have competing priorities. Strong sense of urgency. Excellent communicator and with a servant leadership style. Ability to effectively communicate at all levels of the organization. Strong written communication skills. Ability to write clear and concise documents such as, meeting notes, project plans, update reports, procedures and policies, etc. Excellent attention to details.
