Job Summary: The Shipping Coordinator plays a key role in ensuring the timely, accurate, and compliant shipment of food products to customers, distributors, and partners. This position is responsible for coordinating daily shipping operations, preparing shipping documentation, maintaining inventory records, and ensuring all outbound freight meets regulatory and company standards, especially those related to food safety and traceability. Schedule is Monday - Friday 10am - 6:30pm Key Responsibilities: Order Fulfillment & Shipment Coordination
Schedule and coordinate outbound shipments (LTL, FTL, international, and parcel) in accordance with customer requirements and delivery timelines Verify accuracy of orders, shipping documents (BOLs, packing lists, certificates of analysis, etc.), and labels Ensure proper packaging and palletization, adhering to food safety and handling standards
Documentation & Compliance
Generate shipping documents in compliance with USDA, FDA, SQF, and other applicable regulations Ensure products are labeled correctly for traceability and comply with customer and regulatory standards Maintain Dangerous Goods documentation when applicable
Communication & Coordination
Act as the liaison between production, warehouse, quality assurance, and logistics teams Communicate with freight carriers, brokers, and third-party logistics providers to schedule pickups and resolve issues Notify customers of shipment status, delays, or discrepancies
Inventory & Record Keeping
Monitor inventory levels of shipping supplies and finished goods ready for shipment Record lot numbers, expiration dates, and shipping temperatures when required Assist with inventory cycle counts and reconciliation
Continuous Improvement & Safety
Identify and implement opportunities for process improvements in shipping accuracy, cost reduction, and customer satisfaction Maintain a clean and organized work environment in accordance with 5S and food safety standards Follow all company safety protocols and participate in safety training
Qualifications: High school diploma or GED required; associate degree or logistics training preferred 2+ years of shipping/logistics experience, preferably in a food manufacturing or GMP-regulated environment Working knowledge of shipping software (e.g., FedEx Ship Manager, UPS WorldShip, ERP systems) Strong attention to detail, organizational, and communication skills Familiarity with SQF, HACCP, FDA, or USDA guidelines is a plus Ability to lift up to 50 lbs and operate material handling equipment (e.g., pallet jacks, forklifts)
