Job Summary:

The Administrative Assistant - Accounts Support – L1 personnel will report to the General Manager and have daily interaction with him/her and other members of the management team. The Administrative Assistant - Accounts Support – L1 personnel is responsible for ensuring the administration and accounting tasks are completed in a timely and accurate manner. Administrative Assistant - Accounts Support – L1 personnel is also responsible for various office duties as required on a daily basis. The Administrative Assistant - Accounts Support – L1 will monitor past due accounts on a daily basis, communicating with customers and managers in a friendly, non-confrontational manner. It is critical for the Administrative Assistant - Accounts Support – L1 personnel to maintain a positive and friendly outlook towards all employees, customers and vendors. The Administrative Assistant - Accounts Support – L1 personnel will be responsible to enhance the entire organization's reputation by accepting ownership for accomplishments and faults, as well as exploring opportunities to add value to job accomplishments. These responsibilities and requirements are considered minimum requisites. These requisites may be modified from time-to-time as the company's internal systems and/or processes evolve in continual response to changing market conditions, and/or customer requests Duties and Responsibilities: Create Invoices from service/sales orders in accounting software Create monthly recurring invoices Review invoices for accuracy prior to submitting to customers Mail invoices to customers and email when requested Monitor past due accounts through accounting software Provide information that customers may need for collection efforts Communicate with management on a regular basis on issues or problems with past due accounts Assist in the administrative aspects for shipping material and associated documentation Serve as backup to process employee time for payroll and submit to the corporate office Enter and code vendor invoices Secure, distribute, documents and maintain all building keys and gate remotes Collect and distribute company mail Secure, distribute and maintain Credit cards/Gas cards Maintain and file Customer/Vendor requests (sales tax forms, W9, credit applications, quotes, RMA's) These responsibilities and requirements are considered minimum requisites. These requisites may be modified from time-to-time as the company's internal systems and/or processes evolve in continual response to changing market conditions, and/or customer requests Key Requirements, Education, and Experience: Associates degree or equivalent Excellent Organizational skills Good filing skills a must Experienced in Microsoft Office applications (Word, Excel, Outlook) Experienced in accounting software Good math skills Excellent People Skills Team Player Maintain confidential information and data
