Job Summary The Receptionist and Administrative Assistant is the first point of contact for visitors, clients, employees, and tenants, ensuring a professional and welcoming experience while managing building access. This role also supports office leaders with administrative and clerical tasks, helping maintain efficient operations in a fast-paced construction environment. The ideal candidate is organized, detail-oriented, and able to balance multiple priorities while upholding confidentiality and professionalism. Key Responsibilities Front Desk & Visitor Management Greet and assist visitors, clients, vendors, and building tenants with professionalism. Answer, screen, and direct phone calls and emails to the appropriate team members. Provide accurate information in person, over the phone, or by email. Maintain the safety and security of the office by monitoring entry, controlling visitor access, and coordinating access for tenants who rent space in the building. Administrative & Clerical Support Maintain a clean, organized, and professional reception area. Handle incoming and outgoing mail and deliveries, including certified and special courier services. Support office filing systems by creating, updating, and organizing physical and digital files. Assist with preparation and distribution of company lists (e.g., job lists, contact lists, equipment/vehicle lists). Perform general clerical duties such as photocopying, scanning, and data entry. Office Support Ensure reception area and common areas on 1st floor and 5th floor is tidy and presentable, with all necessary items in place and ready for use Order Clarkson office supplies and keep inventory of stock Order Clarkson food & beverages and keep inventory of stock Update calendars and schedule meetings Arrange travel and accommodations as needed Cleaning and maintenance of the 3rd and 4th floor common areas/ breakrooms Team & Operational Support Provide administrative support to the leadership team and other departments as needed. Assist with scheduling meetings, preparing conference rooms, and coordinating vendor services. Contribute to company-wide projects, initiatives, and process improvements. Support building management with tenant communications related to access and deliveries. Qualifications
High school diploma or equivalent required. College degree; additional certification in Office Management is a plus. 1+ years of experience as a receptionist, administrative assistant, or in a customer-facing role. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams). Strong organizational skills with attention to detail and accuracy. Professional communication skills—both written and verbal. Ability to manage multiple priorities in a fast-paced office environment. Commitment to confidentiality, professionalism, and customer service.
