Job Description The Administrative Assistant will support the Community School Directors by managing all administrative aspects of the 21st Century grant and providing clerical support to program staff.
Reports to:
Community School Director Locations: 35 Starr Street, Brooklyn, NY 11221 Hours:
35 hours/week (Exempt) Salary:
$45,000 – $50,000 Major Duties and Responsibilities Serve as the primary administrative contact for the 21st Century grant. Disseminate and collect program applications; follow up with teachers, students, and parents. Create and distribute attendance sheets to instructors and partners. Collaborate with coordinators and program partners to ensure timely collection of attendance data. File and maintain all attendance, enrollment, and application forms. Enter student data into designated portals; compile, sort, and verify information for accuracy. Input detailed programming schedules. Review and correct data entries; update and purge records as needed. Maintain the 21st Century program binder. Follow organizational policies and procedures; report any needed changes. Maintain confidentiality of student information. Attend mandatory 21st CCLC Net training sessions. Follow up with families of absent students via phone; maintain a call log. Perform general clerical tasks including filing, scanning, photocopying, and data entry. Assist with planning and execution of special program events. Perform other duties as assigned. Qualifications
High school diploma required; minimum one year of office experience. Strong organizational, verbal, and written communication skills. Proficiency in Microsoft Office Suite (Word, Excel, Access, Outlook, Exchange). Ability to interact positively and professionally with staff and external partners. Commitment to a strength-based and/or youth development approach. Bilingual in Spanish preferred.
