How You'll Contribute: As an Executive Assistant, you will provide critical administrative support to the Chief Investment Officer (CIO), the Investment Oversight Committee Working Group (IOCWG), and senior leaders on the Investment Team. Your role will bridge the Front, Middle, and Back Office investment functions to support the execution of investment transactions and enhance coordination with internal and external partners. We are looking for someone who is organized, collaborative, proactive, and committed to maintaining high standards of professionalism and inclusion in a dynamic and mission-driven environment.
What You'll Do: Manage and coordinate materials for key meetings including the Tactical Investment Committee, Investment Oversight Committee, and Board of Directors. Support weekly leadership and compliance meetings by managing agendas and scheduling. Serve as a liaison between the CIO and external investment partners and their administrative teams. Coordinate detailed travel itineraries, manage team expenses, and maintain executive calendars. Prepare, format, and edit investment presentations using PowerPoint, Word, and PDF. Ensure accurate tracking and reconciliation of invoices with senior investment and accounting teams. Provide calendar management, meeting coordination, and travel planning support for the Investment Team. Facilitate legal document execution and compliance adherence alongside Managing Counsel. Support wire requests and transaction funding processes with Treasury. Contribute to a positive, inclusive, and high-performance culture by assisting with various department-wide initiatives and projects.
What You'll Bring:
Education: Bachelor's degree required
Experience: Minimum of 4 years of administrative experience. Experience booking complex travel and preparing executive-level presentations. Previous Executive Assistant experience within Investment Management or Investment Consulting preferred.
Knowledge, Skills, and Abilities: Ability to manage high-priority workloads with strong organization and time management skills. Professional discretion, excellent judgment, and ability to solve problems independently. Strong interpersonal communication skills, maintaining professionalism with colleagues and external partners. Comfort navigating a fast-paced and rapidly changing environment. Intermediate proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Ability to troubleshoot basic technical issues and support software/equipment needs. Respectful handling of confidential information with integrity. Adaptability and openness to supporting cross-functional team needs
Physical Requirements: Must be able to sit and use hands for fine manipulation continuously. Occasional need to lift/carry up to 20 lbs, walk, stand, bend/stoop, and reach above shoulder level. Ability to communicate clearly (talk/hear) and see visual input on screens. Rare travel may be expected.

Compensation and Pay Philosophy: The pay range hourly for this role is $36.30 -$49.91. This reflects the expected compensation for the position at the time of posting. The final offer will be based on factors such as the candidate's experience, qualifications, geographic location, and internal equity, and may be higher or lower than the posted range. The pay range is subject to change in the future in accordance with applicable laws. EquiTrust is committed to fair and competitive compensation that considers individual and organizational needs.
