Title: Administrative Assistant
Reports To: Preconstruction Manager
Hours: Full Time
Experience: This is an entry level position.
Job Summary: We are seeking a highly organized individual to join our team as an Administrative Assistant. The successful candidate will provide administrative support to ensure the smooth and efficient operation of our organization. The Administrative Assistant will handle a wide range of tasks, including coordinating meetings, handling correspondence, and performing various clerical duties. The ideal candidate should possess exceptional organizational skills, strong attention to detail, and excellent communication abilities as well as strong written skills and customer service.
Responsibilities Include but not limited to:
  • Provide daily administrative support to project managers, estimators, and field staff.
  • Track and save all subcontractor compliance paperwork and insurance documents.
  • Prepare and distribute meeting agendas, minutes, and other relevant materials.
  • Handle incoming calls, emails, and correspondence, and respond or redirect as necessary.
  • Maintain and update filing systems, both physical and electronic, ensuring documents are organized and easily accessible.
  • Maintain office supplies, equipment, and vendor relationships.
  • Provide general administrative support, including photocopying, scanning, faxing, and mailing documents.
  • Collaborate with other team members to ensure efficient workflow and effective communication
  • Assist in the onboarding process for new employees, including preparing orientation materials, coordinating necessary paperwork, ordering new employee products.
  • Prepare, format, and distribute project documents, both digital and physical, ensuring accuracy and compliance.
  • Assist with subcontractor prequalification.
  • Process expense reports.
  • Assist with follow ups for the estimating department.
Requirements:
  • Experience as an administrative assistant or in a similar role preferred but not necessary.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize workload effectively.
  • Strong attention to detail and accuracy in completing tasks.
  • Proficient in using computer software and applications, including Microsoft 365.
  • ProCore and Bluebeam knowledge a plus, but will train the right candidate.
  • Exceptional verbal and written communication skills.
  • Ability to maintain professionalism and confidentiality at all times.
  • Strong interpersonal skills and the ability to work well with individuals at all levels of the organization.
  • Ability to work independently with minimal supervision and as part of a team.
  • Be willing to travel, in State, for networking events as needed.
  • This is an office-based job for the hours discussed with the hiring manager. Must be able to commute to Holmdel, NJ.
