Job Details
Job Title: Administrative Assistant
Key Responsibilities
- Administrative Support: Manage and prioritize Market Leads’ calendars, appointments, and correspondence. Prepare and edit reports (to include redactions), presentations, and other documents as needed.
- Expense And Time Management: Submit, manage, and approve expenses and timesheets on behalf of Market Leads; ensure timely and accurate processing of expense reports in compliance with company policies.
- Travel Coordination: Arrange and manage travel itineraries, accommodations, and transportation for Market Leads; anticipate and resolve travel-related issues promptly.
- Event Planning And Coordination: Plan and coordinate internal team events and external client events; manage RSVP headcount, company collateral and on-the-ground coordination with key stakeholders.
- SharePoint Site Management: Create, maintain, and update SharePoint sites for the supported markets; ensure documentation and resources are accurate and accessible.
- Presentation, Newsletters And Communication: Design and modify PowerPoint presentations; draft and distribute professional communications, including monthly newsletters and region-wide notices.
- Onboarding And Offboarding Support: Assist in onboarding new hires and coordinating access; assist with offboarding processes to ensure compliance and equipment return deadlines are met.
- Employee Recognition: Track and complete tasks related to employee recognition and milestones.
- License Renewal Management: Track license renewals for key stakeholders with appraisal licenses; ensure timely reminders and renewal submissions as necessary.
- Other Duties As Assigned: Collaborate with the Admin COE Team to implement best practices and improve operational efficiency; support additional projects as needed.
Qualifications
- Strong organizational skills, attention to detail, and ability to multitask in a fast-paced environment.
- Experience with calendar management, document preparation, expense processing, travel coordination, and basic project coordination.
- Proficiency with Microsoft PowerPoint, SharePoint, and other communication tools.
Compensation And Benefits
The compensation for the position is $22.47 - $26.44 per hour.
