Job Title: Administrative Assistant (Temp to Hire)

Job Description:

The Administrative Assistant will serve as the primary liaison for students, staff, and external partners while supporting department leadership. This role is responsible for coordinating schedules, maintaining accurate records, and ensuring compliance with organizational standards. The Administrative Assistant will play a key role in keeping operations running smoothly and efficiently.


Key Responsibilities:

• Coordinate daily functions for the department and serve as the main point of contact

• Manage and communicate student schedules, rotations, and assignments

• Track required paperwork, background checks, and health screenings for participants

• Provide administrative support to directors, including calendar management, travel, reimbursements, and meeting coordination

• Enter data, prepare reports, and maintain department records and documentation

• Assist with orientation, evaluations, and credentialing processes

• Proctor exams and ensure timely posting of grades and evaluations

• Support department-wide initiatives and collaborate with other coordinators as needed

• Maintain confidentiality and handle sensitive information with professionalism


Qualifications:

• Bachelor’s degree or equivalent administrative experience preferred

• 1-3+ years of administrative support experience in an academic, medical, or professional services environment

• Proficiency in Microsoft Office Suite, Teams, Zoom, and database systems

• Strong written and verbal communication skills

• Highly organized, detail-oriented, and able to manage multiple priorities

• Ability to work onsite full-time


Additional Details:

• Full-time, in-office role (not remote)

• Reports directly to department leadership

• 3-6 month contract period before conversion
