Administrative Support Specialist

Provides a variety of clerical and administrative support which may include drafting and typing letters, reports, charts, graphs, etc. using word processing, spreadsheet, database, and/or presentation software; basic bookkeeping; screening calls and visitors; preparing agendas and making arrangements including travel, etc. for meetings and special events; and/or managing supervisor's and/or department calendar. Specific Responsibilities

Documents & Databases: Prepares manuscripts, scientific, technical, and/or statistical documents. Proofs for spelling and grammar. Enters information into spreadsheets and/or databases. Creates equations. Compiles routine reports, statistics, tables, charts, etc. from readily available information. Website: Coordinates content maintenance of websites and/or blogs. Trains and/or assists faculty and/or staff in updating their websites and/or blogs. Accounting: Processes accounts payable and/or receivable. Verifies income and/or expense. Resolves discrepancies and over/under budget problems. Enters, tracks, and maintains documentation and logs of financial transactions. Ensures that charges have posted to appropriate accounts. Assists with reconciliation of accounts. Reviews budget statements. Investigate and resolve discrepancies. Prepares budget reports and spreadsheets. Completes routine payroll actions. Human Resources: Processes a limited variety of routine HR transactions. Provides information on HR policies and procedures. Coordination: Coordinates supervisor's and/or department calendar. Coordinates registration and travel. Coordinates events, which may include scheduling rooms and/or guest speakers, and arranging for routine materials, technology, and refreshments. Contacts: Provides information via phone, e-mail, mail, etc. Represents supervisor in routine/standard situations with various levels of personnel both internally and externally. Student Services: Guides students through admissions process. Advises students of major/minor requirements. Reviews student files/records for academic progress and referral. Applies knowledge of federal and state regulations. Interprets existing policies and procedures, etc. Coordinates work of receptionists, program assistants, temporary/work-study students, etc. Miscellaneous: Performed other duties. Minimum Qualifications: (Education, experience, and any other certifications or clearances) A high school diploma or equivalent required. 2 years of administrative support or other relevant experience required. Minimum Competencies: (Skills, knowledge, and abilities.) Intermediate knowledge of word processing, spreadsheet, email, and database software programs is required. Target hiring range for this position will be between $18.42-23.47 per hour. Offered salary will be determined by the applicant's education, experience, knowledge, skills, and abilities, as well as internal equity and alignment with market data.
