We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Oakland, California. This role involves providing essential clerical and administrative support to ensure smooth office operations. The ideal candidate will be bilingual in Spanish and possess strong organizational and communication skills. Responsibilities: Answer and screen incoming calls to provide prompt and attentive assistance. Maintain office equipment, supply areas, and conference rooms to ensure functionality and organization. Perform filing and data entry tasks to process participant files and transfer documentation accurately. Handle incoming and outgoing mail, ensuring timely distribution and processing. Assist with eligibility list enrollments and maintain accurate records for provider enrollments. Support the appeal process and contribute to special projects as needed. Monitor the entry of clients and guests into the facility, notifying staff appropriately. Provide assistance with community programs such as the Community Closet. Submit requests for provider enrollments and ensure proper documentation. Maintain a welcoming and organized office environment for both staff and visitors. Requirements: Proven experience in administrative or clerical roles, demonstrating attention to detail and organizational abilities. Strong proficiency in answering and screening calls professionally. Ability to perform accurate data entry and manage documentation efficiently. Experience in maintaining office equipment and supply areas. Bilingual proficiency in Spanish is required. Capable of managing multiple tasks and prioritizing workload effectively. Excellent communication skills, both written and verbal. Familiarity with reception duties and customer service principles.
