Offit Kurman, a growing full-service law firm, is currently seeking an experienced Administrative Paralegal to join our Firm. Within this position, you will be responsible for assisting a robust, high-volume, quick turnaround Commercial Litigation attorneys and case teams in all phases and aspects of their work. This position will be based in our Philadelphia office and is fully onsite.

Job Responsibilities:

  • Assists with preparation of and filing/serving of court documents by mail or electronically via court e-filing or PACER CM/ECF.
  • Proofreads and reviews motions, briefs and other court papers prior to filing.
  • Drafts court papers including one-page motions, proposed orders, certificates of service, entries of appearance, transmittal affidavits, letters, verifications to complaints, as well as correspondence and memos.
  • Ensures that all Litigation case files are maintained within the attorney’s protocols and case management systems
  • Creates and organizes materials for hearings, such as casebooks and briefing binders.
  • Manage calendars, organize and schedule external and internal meetings, teleconferences, maintain diary for court dates and follow-up.
  • Open, maintain and close client files.
  • Handle client contact, both via phone, email, and in-person.
  • Maintain attorney credit card reconciliations, time entry, and other internal procedures.

Skills and Qualifications:

  • 5-7 years of legal administrative assistance within a law firm
  • Prior experience with high-level commercial litigation.
  • Working knowledge of Pennsylvania, New Jersey and Federal Court rules and procedures, as well as a mastery of Philadelphia Court of Common Pleas.
  • Demonstrated ability with complex court filings, in both paper and electronic (e-filing) formats.
  • Previous support throughout all phases of discovery, including document review, production and depositions. Experience with electronic discovery platforms is preferred.
  • Proactive work style and analytical skills: able to read, research, review, verify and route correspondence, reports, and legal documents.
  • Strong production skills with ability to produce accurate work product when formatting documents, inputting data, editing, copying, scanning and transmitting text, data and graphics. An understanding of Microsoft Word Styles functionality is required.
  • Strong written and verbal communication skills, with proficiency in grammar and spelling.
  • Excellent client service skills with proven record of building effective relationships with both internal and external clients.
  • Ability to fluently navigate various electronic databases and document management systems.
  • Knowledge of relevant Firm computer software programs (e.g., Microsoft Office, Adobe), Internet research skills, and document management systems, with the ability to learn new software and operating systems.
  • Strong research skills and proficiency in using various research tools, including the Internet, Westlaw, LexisNexis, PACER, and other court-related websites.
  • Excellent analytical, troubleshooting, organizational and planning skills.
  • Ability to work well independently as well as effectively within a team.
  • Ability to handle multiple projects and shifting priorities.
  • Demonstrates close attention to detail.
