The Executive Administrator position reports to the Senior Director of Financial Operations and provides administrative support to the Senior Director of Workforce Platforms, the Vice President of Business Integrations and Real Estate, the Vice President of Cloud and Network Security Services, and the Senior Director of Solutions Adoption.

Key Responsibilities

  • Administrative: Provide comprehensive administrative support, respond to internal and external customers, screen inquiries and meeting requests, organize correspondence and records, secure office space, coordinate large-scale office moves, and collaborate with other Executive Administrators inside and outside the organization.
  • Meeting Coordination: Manage calendars for the leadership team, schedule meetings and events, work with meeting support services for on-site and off-site events, and process travel arrangements.
  • Contractor Onboarding: Coordinate onboarding for external resources, renewals for existing resources, and communicate with sponsors and vendors.
  • Training Steward: Act as training liaison for Financial Operations and Digital Solutions Adoption and Colleague Solutions teams; ensure correct curricula are assigned to new hires and training is completed on time.
  • Tampa Digital Events: Assist the Tampa Digital Site Lead with speaking events related to solution overviews, professional development, community service, and team building.

Administrative (Detailed)

  • Serve as the initial representative to the office, respond to inquiries, and manage Microsoft Teams (teams and channels) and Outlook distribution lists.
  • Organize correspondence and records, follow up on pending matters, and prepare correspondence for final approval.
  • Arrange office space for new hires and coordinate space, neighborhoods, and conference rooms for visitors; coordinate large-scale moves with Global Workplace Solutions.
  • Collaborate with other administrative assistants to cover group workflow and oversee assistants.
  • Handle ad hoc requests as required.

Meeting Coordination (Detailed)

  • Manage leadership team calendars for planning, including meetings and vacations; schedule individual, team, and large-scale meetings and events.
  • Prepare and distribute meeting materials (agendas, presentations, summaries) prior to meetings; coordinate space, catering, and A/V for meetings.
  • Address issues related to on-site and off-site events; arrange travel for LT members; prepare and submit expense reports in Concur; provide backup support as needed.

Contractor Onboarding (Detailed)

  • Maintain ERP Onboarding mailbox; validate onboarding requests; collect cost centers and project codes; create or reinstate records in GetAccess; submit onboarding requests for Outlook accounts, Network IDs, Connect on Demand, and laptops; request laptops if needed; ensure resources register identity within 30 days; request curricula roles and assignments in the Compliance Learning Tool; track tickets and approvals; notify sponsors for onboarding approvals; submit virtual desktop service requests; maintain contractor records; send renewal reminders and assist with renewals; address questions from vendors, sponsors, and resources.

Training Steward

  • Represent Financial Operations and Digital Solutions Adoptions and Colleague Solutions teams; collaborate to understand curricula, training processes, and systems; conduct monthly follow-ups to ensure training is completed for the balanced scorecard; request curricula role assignments for new hires in the Compliance Learning Tool.

Tampa Digital Events

  • Schedule monthly Tampa Digital events; arrange travel for guest speakers; coordinate with AV, facilities, and catering for events.

Qualifications

BASIC QUALIFICATIONS

  • High School Diploma or GED with at least 4 years of administrative experience in a corporate environment, supporting senior leaders.

Technical Skills

  • Proficiency in Microsoft Excel and other Office apps (PowerPoint, Word).
  • Accountability, self-starter, quick to learn, excellent written and verbal communication, strong business acumen, and negotiation/influence skills.

Leadership Skills

  • Collaborative, innovative, highly organized, able to manage multiple projects, and driven to own tasks and deliver results.

PREFERRED QUALIFICATIONS

  • Bachelor’s degree in business administration is advantageous.

PHYSICAL/MENTAL REQUIREMENTS

Must be able to work on a laptop or desktop for extended periods.

NON-STANDARD WORK SCHEDULE, TRAVEL OR ENVIRONMENT REQUIREMENTS

  • Work Location: Pfizer office 2-3 days per week or as needed; role is not remote.

The salary ranges from $21.82 to $36.36 per hour, with eligibility for overtime and other premiums depending on schedule.
