Summary of Responsibilities:
This role supports the Broker of Record with listings, transactions, and general administrative responsibilities to ensure compliance and transactional efficiencies.
1. Contract & Document Management
Review and prepare purchase agreements, listing contracts, disclosures, and addenda for accuracy and completeness.
Ensure all required signatures, initials, and dates are obtained.
Maintain organized transaction files (digital and/or physical) to comply with brokerage and legal standards.
Track contract contingencies (inspection, appraisal, loan approval, title, HOA docs, etc.).
Input and manage property marketing in MLS and syndicators.
2. Timeline & Deadline Tracking
Monitor all critical dates (escrow opening, inspections, financing deadlines, closing).
Send reminders to agents, clients, and vendors to keep the transaction on schedule.
Anticipate potential delays and help resolve issues before deadlines are missed.
3. Communication & Coordination
Act as liaison between buyers, sellers, agents, escrow officers, title companies, lenders, and inspectors.
Provide regular updates to clients and agents on transaction status.
Facilitate smooth communication between all parties to minimize confusion.
Update deal statuses in company CRM to ensure internal reporting accuracy
Coordinate marketing photos and campaigns.
4. Compliance & Brokerage Support
Ensure all required brokerage forms, disclosures, and compliance documents are submitted on time.
Work with the broker of record or compliance manager to correct deficiencies.
Stay current on state/regional compliance requirements and brokerage policies.
5. Escrow, Title, & Closing Support
Open escrow and confirm earnest money deposit has been received.
Coordinate with title/escrow officers to ensure clear title and timely issuance of closing documents.
Review settlement statements for accuracy.
Verify closing packages are complete and delivered to all parties.
6. Client Service
Guide clients through the closing process by explaining the timelines and required actions.
Provide reminders about next steps (utility transfers, insurance, move-in/out logistics).
Ensure smooth client experience from contract to close, enhancing the agent’s service reputation.
7. Post-Closing Follow-Up
Confirm delivery of closing documents to clients, agents, and brokerage.
Update CRM systems and databases with transaction details.
Help agents request client reviews or referrals after successful closings.
Compensation
· Salary commensurate with experience.
