Job Description Salary: Preconstruction Administrator -Fort Wayne

Overview Weigand is seeking a detail-oriented Preconstruction Administrator to join our dynamic team. This role plays a critical part in managing bid invitations, subcontractor pre-qualifications, contract documentation, and estimating schedules. Job Responsibilities Bid Invitation/Trade Contractor Pre-Qualification Management Use and maintain the database of software which includes Building Connected & TradeTapp. Confirm paperwork and certifications from subcontractors are in order. Send out bid invites when needed. Upload project documents and share them with contractors. Keep track of project-related paperwork.

AIA/AGC Contract Documents Know how to use software to create contract documents. Keep track of contracts until they are finalized. Organize and store contracts neatly.

Preparation of Bid Form Documents Work with the team to know when bid documents are needed. Understand & interpret specifications to determine required bid documents. Prepare bid documents and get bid bond documentation.

Preconstruction Department Estimating Schedule Learn how to use Microsoft Project to keep track of estimating schedules. Coordinate with the team as estimating assignments are given out.

Subcontractor Bid Calls Follow up with subcontractors bidding on projects. Keep track of who has bid, who hasnt, and who needs to respond.

Archiving of Post-Bid Documentation Scan, organize, and store post-bid information from subcontractors.

Communication & Administration Keep communication between different departments and stakeholders. Help with administrative tasks to keep things running smoothly. Check documents for spelling and grammar errors.

Material Unit Cost Management Keep track of material costs for common items like lumber and drywall. Update cost spreadsheets for project estimators.

Miscellaneous Items Maintain estimating log to assure proper documentation. Set up and maintain electronic estimating folders. Monthly trade union contact to notify them of CMC projects. Assist with scheduling and planning for a variety of department needs.

Qualifications 3-5 years of experience in the construction industry. Ability to juggle multiple tasks and work with different people. Proficiency in project management software and tools. Exceptional organizational and time management abilities. Proficient in Microsoft Office Suite, including Excel, and Word.
