Job Description Description:Intake & Billing Administrative AssistantPosition Summary The Intake & Billing Administrative Assistant provides administrative support for client intake and service billing functions. This role focuses on ensuring new clients are properly onboarded, schedules and hours are verified, and EVV (Electronic Visit Verification) records are accurate. The position requires strong organizational skills, attention to detail, and excellent communication to support both clients and staff.
Key Responsibilities
Intake Duties: - Act as the first point of contact for new client inquiries and referrals. - Collect, verify, and enter client demographic and service authorization information. - Coordinate with case managers, staff, and families to ensure a smooth onboarding process. - Maintain accurate intake records in compliance with company policies and state regulations.
Billing & EVV Duties: - Verify employee hours worked prior to payroll and billing submission. - Monitor and follow up on in-progress or incomplete EVV shifts to ensure compliance. - Assist employees with questions related to EVV entries or timesheet issues. - Communicate with the billing staff regarding discrepancies in hours or missing documentation.
Administrative Support: - Maintain organized electronic and paper filing systems. - Assist with reporting and compliance requirements. - Provide general office support, including answering phones, emails, and assisting staff.
Qualifications - High school diploma or equivalent required. - Prior administrative or office experience,
healthcare/homecare
preferred. - Familiarity with EVV systems a plus. - Strong attention to detail, accuracy, and ability to meet deadlines. - Proficiency with Microsoft Office Suite (Word, Excel, Outlook). - Excellent communication and problem-solving skills.
Work Environment - Office-based, Monday–Friday 40 hours a week. - Must be able to work at a computer for extended periods and manage multiple tasks at once.
