Position Summary The Executive Assistant is responsible for a variety of administrative tasks and will work directly with the CEO. The Executive Assistant serves as the administrative point of contact between the CEO and internal/external demands, maintains the CEO’s schedule/calendar and assists with all Board of Directors meetings and activities.
Duties and Responsibilities:
1. CEO administrative support a. Acts as the administrative point of contact between the CEO and all internal and external requests. b. Welcome and directs visitors meeting with CEO. c. Ensure highest level of discretion in providing a comprehensive range of executive support. Answers calls, take messages and routes correspondence. d. Handles CEO requests and queries. e. Conserves CEO time by reading, researching and routing correspondence, drafting letters and documents, collecting and analyzing information and presenting data. f. Maintains CEO calendar by planning and scheduling meetings, conferences, and travel. g. Prepare Board of Directors meeting agendas, background materials, and logistics, as well as taking accurate meeting minutes and arranging any follow-up. h. Schedules Board of Directors committee meetings and maintains an accurate list of committee members, including non-board members. i. Maintains CEO monthly/quarterly lobbying report. j. Maintains CEO expense reports, including Amex expenditures, travel & mileage and submits to the board treasurer for approval.
2. Reception support a. Serves as the main backup to the receptionist. b. Serves as a member of the reception team, participates in reception meetings and training sessions. c. Assists in the review and update of the reception manual.
3. Other duties and special projects as assigned.
Skills and Qualifications: An associate’s degree required; Bachelor’s degree preferred. At least three years related work experience. High proficiency with Microsoft Windows and Office environment (Word, Excel, Outlook) and standard office equipment. Ability to manage multiple projects with attention to detail deal with interruptions and maintain focus on tasks while producing accurate work. Effective problem-solving skills & the ability to assess issues & develop new strategies. Ability to communicate effectively when speaking and in writing using standard forms of professional and office communication. Ability to make presentations and develop and deliver reports to a varied audience. Ability to work independently and as part of a team. Ability to work with people from diverse social and ethnic backgrounds. Must be able to pass a criminal background check.
Working Conditions: Work is primarily performed in a fast-paced non-profit office using computers and phones. There may be occasional travel to accompany CEO to meetings.
