This position provides administrative support for academic operations at the Northeastern State University Broken Arrow campus. The role emphasizes database management, accreditation reporting, faculty support, and recruiting event coordination for the College of Business and Technology. Major Duties Maintains and updates accreditation and assessment databases to support reporting requirements (AACSB, HLC, OSRHE, etc.) for the Broken Arrow campus. Compiles, organizes, and verifies data for accreditation and institutional reporting. Provides direct support to faculty on the Broken Arrow campus, including preparation of course and program materials, correspondence, and scheduling. Assists with coordination of recruiting and outreach events hosted at the Broken Arrow campus, including communication with prospective students and preparation of promotional materials. Prepares reports, forms, and other documents for internal and external use. Manages calendars and appointments for assigned personnel. Coordinates travel arrangements and event logistics. Answers telephone and greets visitors; provides information and assistance, refers inquiries as appropriate. Maintains office supply inventory and processes purchasing requests as needed. Sorts and distributes mail and incoming communications. Directs and provides guidance to student workers when assigned. Performs other related duties as assigned. Knowledge Required by the Position Knowledge of university policies, procedures, and reporting requirements. Knowledge of accreditation and assessment processes in higher education. Knowledge of database systems, reporting tools, and job-related software programs. Knowledge of event planning and recruitment practices, especially for higher education. Skill in data management, analysis, and document preparation. Skill in customer service, oral communication, and written communication. Complexity/Scope of Work The work consists of varied administrative duties requiring attention to detail, accuracy, and discretion. Balancing accreditation deadlines, faculty support needs, and event coordination contributes to the complexity of the position. The purpose of this position is to support the efficiency, compliance, and visibility of College of Business and Technology operations at the Broken Arrow campus. Contacts Contacts are typically with faculty, staff, administrators, students, prospective students, and the general public. Contacts are typically to exchange information, coordinate activities, and provide services. Physical Demands/Work Environment The work is typically performed while sitting at a desk or intermittently standing, walking, bending, or stooping. The employee frequently lifts light objects. The work is typically performed in an office environment with occasional event-related duties on the Broken Arrow campus and surrounding community venues. Supervisory and Management Responsibility This position may provide functional supervision to student workers as assigned. Minimum Qualifications Ability to read, write, and perform mathematical calculations at a level commonly associated with the completion of high school or equivalent. Two years of administrative support experience, preferably in higher education or a related environment. Demonstrated ability to manage data and prepare reports with accuracy. Preferred Qualifications Experience supporting accreditation or institutional reporting in higher education. Proficiency with databases, assessment software, and Microsoft Office applications. Strong organizational skills and ability to manage multiple deadlines. Experience assisting with recruitment or outreach events.
