Accounts Payable Specialist
Gagosian is hiring a full-time Accounts Payable Specialist. Gagosian is one of the world's leading contemporary art galleries, with eighteen exhibition spaces across the U.S., Europe, and Asia. We are seeking a full-time Accounts Payable Specialist to support our Finance team and play a vital role in sustaining the gallery's operations. This position is not just about processing invoices, it's about ensuring smooth financial workflows that allow our exhibitions, programs, and global business to thrive. As an Accounts Payable Specialist, you'll help maintain strong vendor relationships, ensure compliance, and safeguard the financial health of the organization. We're looking for someone detail-oriented, proactive, and energized by working in a fast-paced, high-volume environment. Responsibilities Include But Are Not Limited To
Invoice & Vendor Management Review, process, and code invoices into the accounting system (ExFlow, D365 F&O). Maintain and update vendor records, including collecting and managing W-9s. Ensure invoices are approved by appropriate department heads in a timely manner. Reconcile vendor statements and resolve discrepancies. Monitor and respond to inquiries regarding payments and invoices. Payments & Reporting Prepare and execute weekly payment runs, including checks and wire transfers. Respond to internal and external inquiries regarding invoices, payments, and vendor accounts. Support preparation of 1099s and other year-end reporting requirements. Compliance & Process Improvement Maintain organized digital and physical filing systems for all AP documentation. Ensure adherence to company policies and accounting best practices. Identify opportunities to streamline and improve accounts payable processes. Partner with Finance leadership to implement system enhancements and efficiencies. Qualifications For The Role
3+ years of experience working in accounts payable. Associate's or Bachelor's degree in accounting or related field preferred. Strong attention to detail. Proficiency in accounting software systems (ExFlow, D365 preferred). Excellent communication skills, both verbal and written. Ability to problem-solve and work well independently and within a team dynamic. Strong organization skills. Ability to prioritize workload and troubleshoot/escalate any issues that might come up, in order to meet deadlines. Ability to work in a fast-paced, high-volume environment. Benefits And Perks
