Description Our Adult Health team is looking for a new team member to join us working as a Records Technician. The ideal candidate will have good knowledge of medical record management processes as well as knowledge of privacy, security, and compliance in health care systems. This role involves maintaining closed records, managing Release of Information requests for the agency, and/or Vital Records oversight of client and vital records. This position is located at our Central Public Health Center in Wheaton, Illinois. The hours are Monday through Friday from 8:00 am until 4:30 pm. *Salary may increase based on experience.

Responsibilities
Receives and responds to requests for closed records, including requests for information in accordance with legal authority and statutes; maintains a tracking system of all requests received; applies legal guidelines when assessing and responding to requests for information. Maintains incoming closed records; ensures that closed records meet internal standards and guidelines; oversees the maintenance of the closed records chart rooms; identifies closed records that meet the criteria for purging; completes the required steps to purge records and retains required documents. Completes data entry of record review results; maintains Release of Information (ROI) files for the department; obtains appropriate authorizations prior to the release of information; ensures ROI are completed by compulsory deadlines. Provides information to staff on the Mental Health Act, HIPAA and how to complete compliant ROI forms. Completes an Accounting of Disclosure Log for each client record; locates and retrieves all relent information requested through client charts, electronic medical record systems, and other related sources. Maintains confidentiality of privileged information and adheres to privacy laws. Receives requests for birth and death records; completes requests for permits; keeps up to date on relevant changes in laws, regulations, policies, or practices. Performs outreach to external agencies such as probation departments, law offices, funeral homes, hospitals, as needed. Process online and mail orders daily; reviewing completed forms for accuracy; collects fees when applicable and balances receipts daily. Responds to requests and inquiries from the public. Adheres to department guidelines for attendance and punctuality. Maintains required training, licensure, and/or certification. Demonstrates sensitivity and understanding of other ethnic groups and cultures. Participates in emergency response activities as assigned. Ensures confidentiality of records in accordance with the laws Process requests for medical records Review health records for sensitive information requiring special handling
Requirements Two years of healthcare office support experience, which included working with client charts and records; or an equivalent combination of training and experience.
