Job Title:
Legal Secretary/Assistant – Criminal & Civil Litigation
Position Summary:
We are seeking a highly organized, detail-oriented
Legal Secretary/Assistant
to provide administrative and legal support for a small firm in Tulsa to attorneys practicing in both criminal defense and civil litigation. This role requires strong communication, multitasking, and document management skills, along with a solid understanding of court procedures and legal terminology relevant to both practice areas.
Key Responsibilities:
Prepare, proofread, and format legal documents, including pleadings, motions, subpoenas, discovery responses, trial exhibits, and correspondence
File legal documents with state and federal courts using electronic filing systems (e.g., OSCN, PACER)
Manage attorney calendars, court dates, deadlines, and client appointments
Maintain and organize case files (both physical and digital), ensuring confidentiality and accuracy
Assist with trial preparation, including assembling trial binders, witness lists, and exhibits
Communicate with clients, court personnel, opposing counsel, and vendors in a professional manner
Track case status, discovery deadlines, and other litigation timelines
Perform legal research and summarize findings under attorney supervision (as needed)
Coordinate service of process and handle document delivery to courts or clients
Maintain billing records and assist with timekeeping and expense reporting
Qualifications:
Prior experience as a legal secretary or assistant in criminal and/or civil litigation required
Proficiency in Microsoft Office Suite, legal management software, and e-filing platforms
Strong understanding of litigation procedures and court rules
Excellent written and verbal communication skills
Ability to prioritize tasks, work under pressure, and meet deadlines
High level of discretion and professionalism
Notary Public certification a plus
Preferred Skills:
Experience supporting trial attorneys in high-volume or high-profile cases
Familiarity with case management systems (e.g., Clio, MyCase, TrialDirector)
Ability to draft basic legal documents under attorney guidance
