Summary
This position provides administrative support to Northland Group - Scott Fahlsing. This role is critical to our member experience and requires a friendly, upbeat demeanor. The incumbent supports the daily operations of the practice, including, but not limited to: answering phones, meeting/greeting members, handling/distributing postal mail and practice email, ordering supplies, utilizing Thrivent Financial computer systems and programs in support of client relations, and other administrative tasks as assigned. The administrative assistant reports to and is employed by Northland Group - Scott Fahlsing.
This position is part-time and fully in-office, working 20-25 hours a week. Compensation ranges from $18-20/hr depending on experience. Holiday PTO is available.
Job Description
Position Roles/Responsibilities/Accountabilities
- Handle incoming telephone calls to Scott Fahlsing and respond to requests for information.
- Perform routine administrative duties such as maintaining office supplies and processing mail.
- Prepare or coordinate the preparation of routine correspondence, reports, and special projects of a routine nature.
- Support projects, administration of various programs, and processing functions as needed.
- Drive client/member-facing activity by scheduling meetings with clients/members on behalf of the practice’s Financial Advisors.
- Update the contact management system with client/member contact and preference information.
- Assist Financial Advisors in preparing and following up for client/member meetings.
- Track practice expenses and oversee bill payments.
- Provide backup support on tasks that do not require licensing or registration, as needed.
- Participate in the business planning process.
- Complete other miscellaneous tasks as assigned.
Position Qualifications
- Previous administrative/secretarial experience is desired.
- Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint) or ability to learn.
- Ability to handle multiple tasks and maintain high-quality work amid frequent interruptions.
- Ability to maintain the integrity of sensitive/confidential information.
- Basic understanding of our products, services, and Thrivent Financial.
