We are seeking a tech-savvy, detail-oriented accounting professional to join our team onsite in Charlotte, NC. This full-time role is ideal for someone who is proactive, thrives in a fast-paced and growing environment, and brings a high level of confidence and competence to all things accounting in a small, professional services and technology equipment company.
You will be responsible for general ledger, invoicing, accounts receivable, accounts payable, purchase order processes, payroll processing (via ADP TotalSource), procurement support, general bookkeeping, and light office management responsibilities.
While we will provide full training on our internal systems and processes, this role requires someone who can take initiative and operate independently with minimal supervision.
Key Responsibilities
- Record and properly classify transactions in QuickBooks Online
- Reconcile bank, credit card, and loan accounts
- Assist with month-end close and generation of financial reports
- Cash/Banking activities – transferring between accounts, generating wire transfers, etc.
- Assisting the VP, Finance with budgeting and forecasting
Accounts Receivable (A/R)
- Create and issue invoices in QBO based on contracts with both time & materials and milestone-based billing
- Application of cash payments, follow-up on overdue balances
- Lead weekly internal A/R meetings with team members and stakeholders
Accounts Payable (A/P)
- Enter and code bills, credit card transactions, and expense reports
- Schedule and process vendor payments on time
- Maintain vendor records, W-9s, and ensure 1099 compliance
- Reconcile vendor statements and resolve discrepancies
- Process international bi-weekly consultancy payments
Procurement & Purchase Orders
- Prepare and manage Purchase Order (PO) processes
- Work cross-functionally to support procurement and vendor coordination
- Track and reconcile open POs and received goods/services
Payroll & Onboarding
- Process biweekly payroll for a small US-based payroll via ADP TotalSource
- Onboard new hires and maintain employee records in ADP
- Track time-off, benefit deductions, and payroll-related compliance
- Ensure accurate payroll-related journal entries in QBO
What We Require
- 5+ years of full-charge bookkeeping/accounting experience
- Expert-level proficiency in QuickBooks Online (QBO)
- General accounting knowledge (i.e. accrual accounting, revenue recognition)
- Experience with payroll processing, onboarding, and payroll GL accounting
- Excellent organizational skills and attention to detail
- Self-starter. Ability to work independently with minimal supervision
- Tech-savvy: able to quickly learn and navigate cloud-based systems, apps, and reporting tools
- Confident communicator who can lead internal meetings and work cross-functionally
- A team player who thrives in a fast-paced, growing business environment
What We Are Ideally Looking For
- Prior experience in a small manufacturing or assembly business
- Prior ADP payroll processing experience
