Overview
The receptionist attends to visitors and handles inquiries by phone and in person. This role also provides information about the organization to the public, clients, and customers.
Responsibilities
- Answers telephone (250-300 calls a day), screens and directs calls to the requested team member.
- Takes and relays messages.
- Answers inquiries about the company.
- Greets visitors warmly and ensures they are comfortable.
- Monitors visitor access and maintains security awareness.
- Calls co-workers waiting for visitors and books them a room to meet in.
- Ensures reception area and front conference room are clean and organized.
- Ensures front conference room is stocked with beverages (coffee, stirrers, cups, etc.).
- Ensures conference room is set up for client visits (notebooks, water, pens, etc.).
- Checks and refills/cleans the coffee machine every morning and keeps inventory on coffee supplies.
- Coordinates mail flow in and out of the office.
- Keeps accurate inventory on office supplies and provides inventory counts to Accounting quarterly.
- Provides clerical support by entering, formatting, and printing information; organizing work; answering the telephone; relaying messages; maintaining new hire supplies.
- Performs any other related tasks as may be requested from time to time.
Qualifications
- Proven experience as Front Desk Receptionist.
- Familiarity with office machines (e.g., fax, printer, etc.).
