Position Overview
We are seeking a professional, personable, and service-oriented Receptionist to be the face of our organization. As the first point of contact for clients, guests, and internal staff, the Receptionist plays a critical role in creating a warm and seamless experience. The ideal candidate excels in a fast-paced, client-facing environment and demonstrates exceptional communication, organization, and collaboration skills.
This is a cross-functional role where team members support one another to ensure the highest standards of service and efficiency are maintained across the office.

Key Responsibilities
- Greet and assist all incoming visitors and clients; offer refreshments and create a welcoming atmosphere
- Respond to general inquiries at the front desk and via phone; direct individuals to appropriate staff or locations
- Manage visitor lists and enter data into the building's visitor management system
- Coordinate with building lobby staff to ensure smooth guest check-ins and event access
- Handle incoming calls and internal hotlines; respond to urgent service requests (e.g., guest Wi-Fi, mother's room access)
- Escort guests to meeting rooms or hosts; provide office tours when applicable
- Set up and break down conference rooms before and after meetings or events
- Order and restock office supplies, pantry items, and hospitality-related materials as needed
- Prepare and send welcome packages to internal visitors, including directions and contact info
- Provide concierge-style support including coat/luggage assistance, taxi arrangements, and general hospitality
- Track and audit temporary badge usage; maintain accurate records and follow up on outstanding returns
- Follow Forrest Solutions and client-specific policies, including safety and security protocols
- Participate in training sessions and stay current on updates and best practices
- Collaborate with teammates and other departments to ensure a consistent and high-quality client experience
Qualifications & Experience
- 2-3 years of experience in customer service, hospitality, or administrative support (hotel, restaurant, or event planning preferred)
- Proficiency in Microsoft Office Suite, Google Workspace, and audio/visual equipment
- Strong communication and active listening skills
- Professional appearance and polished demeanor
- Comfortable standing and walking for extended periods
- Organized, adaptable, and dependable
- Able to interact confidently with clients and staff at all professional levels
- Ability to lift up to 25lbs
- Ability to stand for long periods of time
