Executive Assistant
Santa Clara, CA 95054 - Onsite (Minimum 4 days/week)

JOB SUMMARY:
The company is seeking a highly resourceful and polished Executive Assistant to support senior executives in a dynamic, fast-paced environment. The ideal candidate is proactive, detail-oriented, and thrives under pressure while maintaining a high level of professionalism and confidentiality. This role requires excellent judgment, strong communication skills, and the ability to manage multiple priorities seamlessly
KEY RESPONSIBILITIES:
Provide strategic calendar management in a rapidly changing environment across multiple time zones Coordinate logistics for in-person and virtual meetings, including room bookings, catering, and technical setup Manage complex travel arrangements, ensuring a seamless end-to-end experience Prepare and distribute meeting agendas, presentations, and other materials Complete critical aspects of deliverables and special assignments by setting objectives, managing timelines, and collaborating across teams Organize logistics for off-site meetings and support department-wide events as needed Handle a wide range of administrative tasks and communications with discretion and accuracy Serve as a liaison between executives and internal/external stakeholders, including customers, vendors, and visitors Perform additional duties and special projects as assigned
WHAT YOU'LL BRING:
Bachelor's Degree required Minimum of 5+ years of experience supporting C-level executives in a fast-paced environment Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, Skype for Business) Excellent verbal and written communication skills High level of professionalism and ability to handle confidential information with discretion Strong organizational skills with the ability to prioritize multiple tasks and maintain attention to detail A proactive, results-oriented mindset with a strong sense of ownership Outstanding interpersonal skills and a collaborative team spirit
WORK ENVIRONMENT:
This is an onsite role, requiring presence in the office at least 4 days per week You'll be part of a collaborative, high-performing team within a leading digital innovation company
