Job Summary: This position is a part of a team of Administrative Assistants and support staff for the school. The Administrative Assistant works collaboratively and collegially with school administrators and the Board to ensure that Board communications and administrative tasks run smoothly. The Administrative Assistant regularly interacts and works closely with the Executive Director. Work Year: 12 month position (Part Time 24 hours per month) Reports to: Executive Director Essential Job Functions: Promotes a collegial and welcoming learning Provides clerical and administrative support to the Executive Director and Board of Trustees and Committees Post all Public Meetings following public meeting laws and regulations Communicate with Committee Chairs and Board Chair for agenda items Draft Agendas for all meetings (Board and Committee) Draft meeting minutes for all Committee and Board meetings Attend all full Board meetings in person Attend Committee meetings via Zoom (may add the extra Committee meetings) Attend Executive Committee meetings via Zoom Maintain shared documents with all Board members: Meeting calendar, committee assignments, board directory Maintain all shared Committee and Board folders. Include all meeting documents Prepare Board meeting packets for in person meetings Maintain meeting calendar with Zoom links Prepare Board binders for the July retreat/meeting Order Board name plates and departure gifts Plan and coordinate all board meetings with Board chair, Executive Director, Dir. of Technology and Dir. of Facilities Assists the Board with ensuring that all members have completed mandatory state training and obligations. Track and follow up with Board members. Upload the required documents and maintain the contact information in the DESE Board Management System. Provide documents for new members for DESE approval. Maintain contact information. Keep accurate records of Board members terms Assists the Administrative team with special projects, initiatives and mailings, as needed. Qualifications: Strong typing and data entry skills Experience with Microsoft Office Experience with Google Effective calendar and email management skills Effective communication skills (verbal and written)
