Administrative & Operations Support

Under direct supervision, Administrative Assistant 1 performs a wide range of office administration duties in support of assigned functions or program areas. Work may involve complex tasks and access to confidential information. This role may include researching, investigating, and resolving program data or issues; drafting documentation, reports, or presentations; and providing information and assistance to both internal and external stakeholders. Primary Duties & Responsibilities Provide administrative support to the assigned area. Assist and resolve problems for claimants, employers, staff, other agencies, and/or the general public. Deliver program, administrative, and/or technical assistance and interpretation; research and resolve detailed program or client issues/questions; and prepare documents. Represent the manager in various program or administrative matters when needed. Support agency/office administrative functions, including but not limited to: Travel expenses and reimbursements Car rentals, leases, and contracts Vendor relations and purchasing Telecommunications and building security Billing, credit, and inventory management Property control, personnel, and payroll processing Receive additional training, as required, to gain full proficiency and experience in all assigned areas. Entry Qualifications High school diploma or GED. Two (2) years of job-related experience. Preference will be given to applicants who, in addition to meeting the minimum qualifications, possess one or more of the following: Two or more years of experience in administrative or secretarial support. Two or more years of experience using MS Word and Excel; JTS experience a plus. One or more years of experience in accounting and/or personnel functions. One or more years of experience in preparing budgets and financial reports. Three (3) or more years of experience supervising. Preferred Qualifications Experience with PeopleSoft, Team Georgia Careers, or Taleo systems. Knowledge of State of Georgia HR policies, personnel rules, and administrative processes. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and ability to create reports, dashboards, and presentations. Demonstrated ability to manage multiple tasks, prioritize competing deadlines, and maintain accuracy under pressure. Excellent oral and written communication skills, including the ability to draft professional correspondence and reports. Experience handling confidential or sensitive information with discretion and compliance. Strong interpersonal skills, with the ability to provide customer service and problem resolution to staff, management, and external partners. Prior work experience in a government, public sector, or large-scale HR/administrative office setting.
