Office Administrator
to join our team! The Office Administrator coordinates and performs a diverse set of administrative tasks, ensuring the organization and its employees have the support needed to operate smoothly and efficiently. Office Administrator Responsibilities : Front Desk/Reception: Answer and transfer phone calls, welcome and direct visitors, host on-site meetings, and welcome visitors and vendors into secured office. Responsible for office phone and cell phone administration, including direct and frequent interaction with employees, vendors, carriers, auditing accounts, and tracking equipment. Provide daily administrative support for the team. Tasks are both scheduled and spontaneous, including daily mail management, written correspondence, scanning, spreadsheet creation, filing, and research assistance. Diagnose and managing office equipment, helping employees with basic hardware, technology and software issues. Prioritize issues for IT Consultant referral and monthly in-office work. Responsible for the upkeep of office equipment; solving general issues and managing required services and regular maintenance. Responsible for ordering supplies (administrative supplies and food/drink stock); maintaining and restocking supplies in office and kitchen areas daily. Special event planning and execution—meetings, luncheons, employee events, etc. Perform other related duties as required or assigned. Who You Are: Positive, energetic, proactive, and adaptable. Extensive knowledge of office administration, clerical procedures, and recordkeeping systems. Technical aptitude and extreme proficiency in using office software and tools (Microsoft Office Suite, Zoom, Teams, OneNote, Smartsheet, etc.) and ability to learn new or updated software (e.g., Project Management, Sage/Property Management Software, etc.). Your Education and Experience: Required: High School diploma or equivalent. Valid driver’s license with safe driving record. Preferred: Associate’s degree in Office Management, Accounting, or related field. 3+ years of administrative/office management experience. Computer set-up, peer training and assistance, software installation and maintenance (working with IT TPA to troubleshoot issues). Location & Work Schedule: Position is on-site, based out of our corporate office in Tukwila, Washington. This is not a remote position. Monday through Friday, 8:00 AM – 5:00 PM, 40 hours per week. Additional hours may be needed on rare occasions. Physical, Work Environment and Travel Requirements: Prolonged periods of sitting at a desk, working on a computer (with or without accommodation). Position must be performed at SP Office due to essential duties. Hearing, visual acuity and utilization of various office equipment and smart phone (with or without accommodation). Frequent and repetitive sitting, standing, squatting, walking, kneeling, bending, twisting, reaching, walking up and down stairs, lifting up to 25 pounds (with or without accommodation), and other typical duties of an office administrator and receptionist. The work environment consists of an indoor, climate-controlled office setting. Occasional travel locally – must be able to safely operate personal vehicle (i.e., post office, restaurants, supplies, etc.). What We Offer: $65,000 – $77,000 per year, depending on qualifications and experience. 100% paid employee medical/vision and dental insurance. 50% paid family coverage. After one year of service, employees are eligible to participate in the 401(k) and receive a matching contribution equal to 100% of the first 4% of pay contributed. Two weeks (10 days) of vacation, eight paid holidays, and paid office closure the week between Christmas Eve and New Year’s Day. Vacation is prorated in first year based on hire date.
