Soltek Pacific
At Soltek Pacific the Estimating Coordinator provides essential administrative and logistical support to the estimating team throughout all phases of the preconstruction process. This role is responsible for organizing bid documents, maintaining project files, coordinating subcontractor outreach, managing bid schedules, and ensuring timely submission of bids and proposals. The Estimating Coordinator plays a key role in streamlining workflows and supporting communication between internal teams and external partners.
Coordinate and organize bid documents, including drawings, specifications, addenda, and RFIs.
Maintain an up-to-date bid calendar and track proposal due dates, pre-bid meetings, and submission deadlines.
Support estimators by preparing bid forms, formatting proposal documents, and ensuring all materials are complete and accurate.
Distribute invitations to bid (ITBs) to subcontractors and vendors; track interest and follow up to encourage participation.
Assist with subcontractor prequalification, documentation, and bid compliance requirements.
Ensure the accuracy and organization of digital and physical files related to each estimate or project.
Help facilitate communication between the estimating team, project managers, clients, and subcontractors.
Coordinate logistics for pre-bid meetings, site walks, and proposal deliveries.
Assist with reviewing proposals for consistency, formatting, and adherence to Soltek and client standards.
Maintain internal databases, vendor lists, and bid coverage logs.
Support general administrative functions for the estimating department as needed.
Additional duties may be assigned.
Qualifications & Education
High school diploma or equivalent required; Associates or Bachelors degree in Business, Construction Management, or related field preferred. 2+ years of experience in construction, estimating, or administrative coordination role preferred. Familiarity with construction documents and terminology. Proficient in Microsoft Office Suite (Word, Excel, Outlook) and PDF tools. Experience with bid management platforms is a plus. Strong written and verbal communication skills. Exceptional organizational and time management skills with the ability to meet tight deadlines. High attention to detail and accuracy in handling documents and data. Ability to work both independently and collaboratively in a team environment. Physical Requirements
Ability to sit for extended periods at a computer workstation. Frequent use of hands for data entry, document handling, and phone use. Ability to view and interpret bid documents, spreadsheets, and construction plans. Occasional standing, bending, lifting, or carrying files and materials (up to 25 pounds). Ability to travel locally for meetings, deliveries, or job walks on occasion. Must be able to navigate office and construction site environments, including stairs and uneven surfaces when needed. *Many physical activities occur simultaneously.
